Receptionist
at Martin Brudnizki Design Studio
Martin Brudnizki Design Studio is seeking a receptionist to join its team in New York.
The receptionists’s main focus is to manage the day to day running of the reception area whilst assisting the office manager. This receptionist reports directly to the office manager.
The responsibilities will include:
- managing reception (day to day) between the hours of 8:30am – 5:30pm:
- opening the studio each morning
- listening to voicemail messages and relaying to the intended recipient
- acting as first point of contact for all calls; screening and directing messages
- providing studio information to callers
- greeting visitors – standing up to greet them ‘welcome to MBDS’ take coats/bags
- offering refreshments – tea, coffee, water
- being aware of daily staff movement in/out of the studio (calendar)
- ensuring the reception area is kept tidy – all personal items put away in draws
- meeting room:
- ensuring the meeting room is kept clean and tidy at all times
- checking the calendar daily to ensure there are no overlaps in meetings
- preparing for visitors (equipment needed, refreshments etc.)
- contact database:
- maintaining the contact database
- adding any new details as requested
- updating existing details as necessary
- couriers/deliveries/post:
- distributing all post to the studio (including/determining invoices once date stamped)
- receiving deliveries
- arranging all couriers
- daily mail run 3:00pm
- assist the office manager with the following (as requested):
- ordering inventory supplies – stationary, bathroom and kitchen
- maintaining studio emergency and disaster recovery information
- arranging monthly staff drinks event
- keeping the office clean and tidy at all times
- adhoc duties as requested
- coverage as needed
- general:
- managing the studio/meeting room email account (daily)
- assisting with any general adhoc studio duties as requested (supporting the PA/HR if requested)
- liaising with all MBDS entities as needed (London, MBDS Holdings, And Objects, Art Consultancy etc.)
- making sure kitchen and toilet supplies are up to date
- assisting PA with travel bookings
- managing reception temps if and when required
