New London Architecture (NLA) is hiring an events and programme coordinator to join its team in London.

Reports to: senior event manager

Salary: £24,000 – £26,000

Contract: full-time, 40 hours per week

New London Architecture (NLA) is an independent, purpose-led membership organisation for everyone with an interest in London’s built environment.

Our activities are broad-ranging and include research, publications, events, exhibitions, tours, learning programmes, websites and social media platforms, awards and competitions, the world’s largest architecture festival and public galleries that feature large interactive scale models of London.

The role

NLA is looking for an events and programme coordinator to support the events and programme teams with a view to working flexibly depending on the needs of the programme.

You will assist in the coordination of the events programme for both NLA and NLA’s member clients, contacting venues and caterers, collating quotes, liaising with speakers in the run up to events, assisting with booking enquiries and supporting pre and post event management.

The events and programme coordinator will provide a critical level of support to the programme team across a wide range of tasks in delivering the New London Awards as well as supporting on the busy programme of exhibitions, research, events and publications.

The events and programme coordinator will represent NLA as an advocate, be able to clearly communicate about NLA’s mission within the team and to external clients.

Main duties and responsibilities

Strategic direction and operational delivery:

  • on-site pre event management support which includes but is not limited to client liaison, RSVP management, booking enquiries, delegate data inputting, catering orders and collation of quotes from suppliers
  • digital pre-event management support which includes but is not limited to setting events up on Zoom, sending diary invites to speakers, sending comms to delegates
  • preparation of all event materials including badges, delegate lists and marketing materials etc. for on site events
  • liaison with speakers in the run up to events to collate presentations, biographies and head shots
  • front of house event support for on site events including registration, client and speaker management and checking event set up
  • post event administration including but not limited to event archiving, evaluation form administration and client liaison
  • ensuring we meet health and safety obligations
  • communication of event feedback to the head of events on a monthly basis
  • assisting with collation of monthly updates for the NLA team internal mailer
  • coordination of the New London Awards programme including collating and reviewing submissions, organising assessment and judging panel meetings and coordination of the shortlisted and winning schemes for press and the NLA Awards Annual Lunch
  • planning and delivery of certain programmes including speaker invitations and management, copy writing and post-event follow-up
  • working with the marketing team to ensure website, mailers and social are all up-to-date for individual events assigned to you
  • engage with NLA members and the Client Relationship Team to develop activities that respond to their needs
  • support for our annual programme of research, including collation of materials, editing and proofing

What we are looking for

You will be a self-starter with event coordination experience and an interest in the key issues influencing London’s built environment.

You will share our teams core values by always being informed, rigorous, collaborative and responsive in everything you do.

Essential skills and experience:

  • a good knowledge and interest in architecture, planning and design in London.
  • excellent event coordination and organisational skills
  • basic computer skills (Excel, Word, Powerpoint, Photoshop, InDesign) – experience of Mac an advantage
  • strong ability to follow tasks through to completion
  • precision, great attention to detail and exceptional communication and time management skills
  • many of NLA’s events are hosted in the early mornings or into the evenings, so the ability to be flexible around early starts and late finishes is essential

Your normal working week is 40 hours, Monday to Friday. Holiday: 25 days per year (including Christmas closure) plus bank holidays.
