Overview
The proposal coordinator will be responsible for preparing high quality pre-qualification and bid submissions, ensuring that responses to opportunities are written to the highest possible standard.
As ACPV is operating in the EU, Middle East, and elsewhere in the world, the Proposal Coordinator must be comfortable operating in an international environment and have the ability to quickly grasp and analyse the industry specific requirements related to the country in question.
You will be working within ACPV new business team, reporting to the partners in charge and the strategy manager.
Key responsibilities:
- vet all incoming RFPs/RFQs
- identify project specific risks and opportunities within new projects
- draft comprehensive fee proposals, and assess staffing plans, schedules and other various project set up related tasks based on analysis of contractual terms, scope, and timeline of new and existing projects
- manage the planning and collection of materials required for outgoing fee proposals, including proposals requiring coordination with external specialist consultants
- liaise with strategy, project teams and the Operations team to develop a complete understanding of requirements for specific RFPs, bids and new work proposals
- review bid submissions for quality, compliance and consistency
- develop and maintain standard document templates and presentation formats
- maintain a library of written responses, case studies, tables and graphics to support the production of bids
Qualities and skills required:
- minimum of three years’ of experience in the same position within the architecture, property development, engineering, construction or professional service industry
- experience putting together fee proposals for design services in the EU, UK and/or the Middle East
- knowledge of architectural and engineering scope of services according to main international standards (RIBA, AIA etc.)
- excellent knowledge of both Italian and English
- excellent time management and ability to work under pressure to meet deadlines
- strong organizational and administrative, proofreading and document production skills; adept in MS Word, Excel, Adobe Acrobat and InDesign
