Part-time studio manager

McLean Quinlan is looking for a part-time studio manager to join its team in Winchester, UK.
We’re seeking a positive, efficient, and proactive studio manager to ensure the smooth running of our Winchester studio alongside the directors and finance manager.
We anticipate this would be a part-time role for someone who combines excellent administrative abilities with a background or interest in art and design.
The position will suit a confident communicator with excellent written skills. The successful candidate will be well organised and self-motivated, with the capacity to work in different roles.
Role and responsibilities
Studio coordination:
- front of house, including welcoming guests
- day to day management of the practice
- managing the main office email and corresponding with suppliers, clients and new enquiries
- general administrative duties; filing, archiving, scanning, typing
Facilities management:
- keeping the practice tidy and organised at all times
- ordering office supplies
- organising repairs and maintenance
- assisting with building management such as insurance renewals and utility contracts
PA support
Providing assistance to the three directors, including: booking travel, scheduling appointments and meetings, filing emails etc.
General support:
- supporting the studio in various administrative roles as well as support with individual architects projects where needed
- assisting the finance manager with invoicing etc.
- assisting with business development and marketing
- compiling, reviewing and proof-reading documents
HR support:
- assisting with staff records and timesheets
- organising staff training, CPD’s, appraisals and staff socials
- maintaining office policies and health and safety
- general pastoral care and staff wellbeing
- working with the office management software to approve leave, expenses etc.
Skills and qualifications:
- a good administrator with a natural attention to detail and the ability to check and correct their own and other’s work accurately
- strong time-management and people skills, flexibility, and multitasking ability
- good communication skills, organised and proactive
- a good team player who willingly and proactively helps others when needed
- a background/interest in art, design or architecture
- copywriting skills would be beneficial
- good at consistently following things through to completion
- able to work on their own initiative
- experienced in a similar role
- advanced computer skills and experience with online platforms
- proficiency in Microsoft Suite, with the aptitude to learn new software and systems
- experience in Adobe InDesign, Photoshop would be a plus
Anticipated part-time: 24 hours per week. Hours and schedule negotiable.
Salary pro rata dependent on experience.
