Michaelis Boyd is seeking a studio assistant to join its team in the UK.

Reports to: studio manager

Responsible for the efficient organisation and smooth running of the busy London studio, supporting the studio manager and ensuring the studio is an enjoyable, professional, and safe place to work.

Key duties

Admin:

  • answering the phone, filtering calls, and managing enquiries, – immediately forwarding any messages taken
  • booking domestic travel for colleagues (such as trains and taxis) and arranging couriers
  • handling all deliveries and distributing post including samples
  • managing the office calendar, booking meeting rooms
  • updating logs for all ordering and purchasing for the office including office and printing supplies
  • updating data base for equipment and IT
  • supporting the studio manager with suppliers and updating supplier database

 Front of house:

  • greeting visitors into the office, offering, and making drinks
  • checking that the waiting area is organised, meeting rooms are presentable before and after meetings
  • checking all equipment is ready for use in the office
  • supporting the architectural team with IT facilities, organizing, and preparing for CPD events and arranging lunch

Facilities:

  • supporting the studio manager to ensure that all employees have the equipment and systems necessary to carry out their role
  • working with our external IT supplier to ensure IT queries are dealt with and resolved
  • do-ordinating with the studio manager in setting up new workstations and IT equipment/systems
  • sample management – setting up and maintaining a system for logging, returning, and recycling samples for the office
  • overseeing the management and security of company property
  • the maintenance and assigning of office and IT equipment

General:

  • general tidiness and appearance of the office, including bathroom, kitchens, and printing room
  • daily post run
  • printing and preparing presentations, printing internal documents such as brochures, employee booklets

HR:

  • maintaining first aid kit
  • manage new start and leavers handover of equipment
  • induction on first day
  • update documentation for new starters such as phone list and seating plans
  • organising small internal events ie: Birthdays, leaving
