A role has opened up within our document control team for an aspiring junior document controller.

This role requires logical thinking and exemplary organisation skills. It will often involve working to deadlines and ensuring that project teams are following consistent filing procedures. The candidate will have a high level of initiative, be proactive and able to communicate effectively at all levels. Confidentiality, a flexible approach and a willingness to learn are fundamental to the role’s success.

Core responsibilities

Make’s designated document control management system is Newforma. However, we also use a number of different CDE sites, including Aconex, 4Projects, BIM360, Asite and Business Collaborator. By implementing the internal Make project protocols and using the relevant CDE sites, you will be responsible for:

  • managing the flow of incoming and outgoing project information such as drawings, schedules and specifications
  • issuing and backing up formal submissions across a vast range of projects
  • maintaining and providing issue sheets and document registers for a variety of project teams
  • reviewing and QA checking documents for accuracy and adherence to both internal and external requirements
  • assisting project teams by monitoring project workflows, anticipating busy periods and deadlines and advising teams accordingly
  • assisting project teams in collating and coordinating drawings and technical documents in preparation for issue
  • liaising with external project team members as and when required
  • developing and assessing ongoing improvements to document management systems and working methods as and when required
  • ad hoc administrative duties as directed by the document control manager or project teams

  • minimum requirements for this role are A-Levels (A–C), a Higher National Diploma in a related subject or an equivalent educational level
  • at least one year of related experience in document control is preferred but not essential
  • experience using Newforma is preferred but not essential
  • experience with CDE platforms such as Aconex, 4Projects, BIM360, Asite and Business Collaborator is preferred but not essential
  • knowledge of ISO 19650 standards is preferred but not essential

Normal working hours are 9 am to 6 pm, although flexibility is sometimes required to work to project deadlines.
