Interior design studio manager

Henri Fitzwilliam-Lay is seeking a studio manager to join its London team.
We are an interior design studio based in Notting Hill Gate. We work on a wide range of exciting high end residential projects in the UK, Europe and South America. The studio advises, from concept through to completion, on all aspects of the design process producing unique and inspiring design schemes.
The HFL team is looking for a very organised, conscientious professional who is highly focused and detail oriented. The ideal candidate will be friendly, eager to learn and have a keen interest in interior design.
Previous experience in an administrative role in a creative industry is preferred. The position is suitable for a person who is ready to hit the ground running and ideally wishes to find a long-term position in our studio and grow with us.
The candidate will be required to:
- manage diary and travel for the principal designer
- support the team with general studio administration e.g post and deliveries, stationery, keeping the studio clean and tidy, particularly on a Monday morning/end of the week and before any client/supplier meetings
- manage the company database of suppliers with the designers
- manage all IT, software and telecoms across business and working closely with our IT consultant
- responsible for ordering, monitoring shipments and freight accounts in the UK and internationally
- general day-to-day management of the studio; making sure we have tea, milk, kitchen basics and ensuring it always looks presentable and fabric samples have been put away
- meeting and greeting all visitors, be a great host serving refreshments or lunch
- lead the bi-weekly Tuesday team catch up meeting, ensuring the everyone is briefed on key events that week
- organising all company travel and couriers
- answering the studio phone
- completing any applications and award submissions
- managing the company’s physical and digital filing system
- managing office costs effectively
- organising bi-annual employee reviews
- overseeing new business leads with the principal designer
- assisting in any organising/admin tasks associated with marketing and PR e.g website, magazines etc
- arranging gifts for staff birthdays and Christmas cards/gifts for clients
- organising any team socials e.g Christmas party
Skills:
- experience with macOS, Microsoft Office Suite, Outlook is essential
- experience with EstiMac, Adobe Creative Suite (especially InDesign) is preferable
- excellent written and verbal communication
- exceptional organisational skills
- highly motivated and attentive
Additional information:
- the role is full time and office based
- start date as soon as possible
- three month probation period to ensure we are a good fit for each other
- pay dependant on experience
