London-based studio Miminat Designs is looking for an executive administrative assistant/business development assistant to support the next phase of its growth.

Job overview

This hybrid role is on a part time or freelance basis and extends into business development, playing a key role in ensuring seamless operations, handling administrative tasks and overseeing project and client relationships. The ideal candidate should have previous experience in a luxury interior design, furniture or architecture company, showcasing impeccable organisational skills, a keen interest in business growth and development, and a proactive approach to handling responsibilities.

Responsibilities

Administrative tasks:

  • manage and maintain managing director schedules, including calendar management, appointments and travel arrangements
  • PA support to managing director and senior team
  • manage and maintain client and project schedules, including calendar management, appointments and travel arrangements
  • managing the company’s contact database
  • act as a gatekeeper, screening and directing phone calls, emails and correspondence
  • prepare reports, presentations, timelines/schedules and documents for meetings and presentations
  • assistance with general office operations, including managing supplies, ordering samples, equipment maintenance and vendor relationships
  • coordinate meetings and events, handling logistics and necessary arrangements
  • handle confidential information with discretion and professionalism
  • collaborate with various departments to facilitate efficient communication and workflow
  • assist in coordinating projects and initiatives across teams, ensuring timely completion

Business development tasks:

  • responsible for exploring opportunities in business expansion through thorough research and development
  • creating business proposals for the company’s upcoming initiatives as well as additional work for on going project, coordinating these with the managing director
  • collaborate with the sales, design and project management teams to gather necessary information for clients and bids
  • create comprehensive project method statements outlining the working procedures for all the project phases
  • help with ongoing project related duties, such as price negotiations, contract development and client Q&A
  • lead the end-to-end bid process, from identifying opportunities to preparing and submitting bids
  • write and edit content for proposals, ensuring accuracy, clarity and alignment with client needs
  • manage timelines for bid submissions, ensuring all deadlines are met
  • cultivate relationships with potential clients, understanding their needs and preferences

Requirements:

  • proven experience as an executive administrative assistant or in a similar role
  • exceptional organisational and time-management skills
  • possess a talent for mathematics and has the ability to work quickly and discreetly with huge and complex spreadsheets
  • have a deep understanding of work stages and practises used in the interior design, furniture and architecture sector
  • be meticulous, appreciate reading the small print and be knowledgeable about what it means
  • has great administrative, organisational, proofreading and document-producing abilities
  • has an eye for detail
  • excellent presentation skills
  • posses the capacity for prompt follow-up and good time management skills
  • proficiency in Adobe InDesign, MicroSoft PowerPoint, Word and Excel is a must
  • strong verbal and written communication skills
  • must be London-based

Qualifications:

  • Bachelor’s degree in business administration, management, interior design or related field
  • previous experience in the interior design industry is advantageous
  • ability to multitask and prioritise tasks effectively in a fast-paced environment
