General Projects is seeking an office manager/PA to join its team in London for a period of 12 months for maternity cover.

General Projects is a future-thinking developer that designs and develops creative, inspiring, and innovative buildings across the UK that focus on sustainability and social impact.

Reporting to the CEO/COO, you will form an integral part of the team as office and administrative support undertaking a range of activities to ensure the day-to-day smooth running of this young, fast-paced start-up.

The successful candidate must be able to coordinate a range of tasks efficiently with initiative and enthusiasm.

The role is based at General Projects HQ in Marylebone. It will be office-based, five days a week although occasional homework will be supported.

Key responsibilities will include:

  • creating and issuing invoices on Xero and being able to update/track/run financial reports and work alongside the company accountant and bookkeeper
  • issuing payroll, managing HR matters and company schemes
  • managing the CEO’s busy and ever-changing diary, scheduling meetings as necessary
  • arranging travel for CEO and team, booking hotels when needed
  • managing all incoming and outgoing posts, deliveries, and couriers
  • maintaining the overall tidiness and appearance of the office, ensuring the office environment is organised and rectifying any issues as necessary
  • assisting with general daily communications – answering calls, greeting clients, setting up meetings and serving refreshments as required
  • assisting the team with purchasing and ad hoc jobs
  • organising events and team trips

Essential experience and skills:

  • two to three years’ experience working in a similar role
  • strong knowledge and experience in Xero
  • excellent organisational and multi-tasking abilities
  • accuracy and attention to detail
  • ability to handle confidential and sensitive information with discretion
  • polite telephone and client-facing manner
  • confident, friendly, and proactive
  • able to work independently without supervision
  • numerate and analytical with excellent written and verbal communication skills
  • proficiency in Microsoft Office and Dropbox essential
