Red Deer is looking for an office manager to join its London team.

Red Deer was founded in 2013 and is an award winning architectural and interior design practice that specialises in restaurant, bar, hotel and residential projects. We are a small, international team of 8 who work both remotely and locally out of a co-working space in Shoreditch, east London.

We are currently seeking a talented office manager to join our team on a full-time basis. The main duties of the role are set out below. The duties outlined below are by no means exhaustive. The successful applicant will be able to demonstrate initiative and adaptability in a dynamic and fun environment. They will also need to have the ability to work autonomously.

Office management:

  • first point of contact for practice, answer incoming calls and emails , taking messages and transferring calls
  • meet and greet clients and other guests
  • providing administrative support to the architectural staff and directors
  • taking in deliveries, collecting post on a daily basis and distribution of post as required
  • maintaining supplies including office stationary and printer equipment
  • book couriers, taxis and reservations as necessary
  • managing renewal of ARB/RIBA membership subscriptions and office/PI Insurance
  • ensuring the optimum day to day functioning and communication of the studio
  • facilities management such as arranging for repairs and basic IT assistance
  • assisting the directors with recruitment and leavers, contracts, inductions for new staff, managing the HR processes
  • booking any required travel, accommodation or couriers for the director and wider team as required

Financial duties:

  • preparing client invoicing for signing off by the commercial director
  • making payments of supplier invoices, managing any FFE procurement processes
  • bookkeeping, including general collating of receipts, rechargeable project expenses, staff and office expenses

Personal skills:

  • agile and dynamic self-starter – able to work independently with a proactive attitude
  • exceptional communication skills and telephone manner
  • highly organised with an ability to work smart and efficiently

Technical skills:

  • excellent command of the written and verbal English language
  • basic understanding of architectural processes and the RIBA Project Stages
  • high IT literacy in MS Office, and Adobe
  • knowledge of Xero is desirable
  • basic financial literacy
  • reporting to: commercial director
  • qualifications: minimum one years’ experience within architecture or design
  • salary: commensurate with experience’
