Document controller – part-time
at ACME

ACME is hiring a part-time document controller for its London studio.

ACME is looking for a highly organised and detail-driven document controller to oversee document control processes and procedures throughout the different phases of project lifecycles.

What we’re looking for

Individuals who are highly organised, precise, considered and comfortable taking responsibility for their work. Confident communicators with a proactive, solutions-focused approach to information management.

Responsibilities include:

  • provide document control on key projects, including; retrievals; data entry into electronic systems; uploading/downloading documentation onto Electronic Document Management System (EDMS); and assisting with document searches
  • establish project-specific document control processes, utilising existing systems and resources, to enable effective monitoring of the documentation process in cooperation with project leadership teams, considering review and acceptance (or otherwise) of proposed client Document Management Systems (DMS); and set up of processes for: internal distribution, archiving and transmission to clients and suppliers/third parties
  • manage and maintain project information within CDE platforms, including Viewpoint, Conject, Asite, Aconex, Procore and others
  • oversee document workflows including submissions, approvals, revisions and status tracking
  • ensure compliance with naming conventions, metadata standards, revision control and project-specific quality standards
  • create, format and update Issuance documents, in collaboration with the project team
  • maintain accurate audit trails and support wider production/document control operations (printing, scanning, binding where required)
  • communicating with project team, clients and sub-contractors, as required for the role, to ensure efficient and effective project execution
  • identify areas for improvement in procedures and workflows
  • where needed, assist in filing and organisation of internal libraries, books, images, samples etc.
  • project administrator duties as required to support project teams

Requirements:

  • minimum of two years’ previous experience in a document control role in an architectural setting
  • proven experience with extranet and information management systems
  • experience in the use of Microsoft Office or LibreOffice
  • experience using REVIT, AutoCAD and Adobe CS beneficial
  • strong understanding of ISO 19650 principles and document control standards
  • exceptional attention to detail with strong organisational and prioritisation skills
  • confident communicator with a proactive, solutions-focused approach to information management
  • able to work the equivalent of two to three days per week, ideally spread across the week, but working patterns can be discussed
