Studio manager/team assistant

The Light Lab is seeking a studio manager/team assistant to join its team in London.

The Light Lab are specialists in custom architectural lighting solutions, with a growing portfolio of projects across the globe. We’re looking for a proactive and highly organised studio manager/team assistant to play a key role in the smooth running of our Shoreditch studio. This is a continually evolving role that requires organisation, flexibility, resourcefulness, and problem-solving skills. Acting as the central support across the office and production team, you’ll be the first point of contact for visitors, suppliers, and clients, while providing hands-on assistance across operations, logistics, marketing, HR, and team admin. It’s a fast-paced and varied position that would suit someone confident juggling multiple responsibilities and keeping things running seamlessly behind the scenes.

Key responsibilities 

Studio management:

  • act as first point of contact for all calls, emails, deliveries and visitors
  • maintain a clean, organised, and professional studio, meeting room, and kitchen environment
  • manage office supplies, stationery, utilities, and IT systems, liaising with service providers and building management as needed
  • oversee upkeep and maintenance of the office space, coordinating cleaners, repairs, and contractors
  • ensure compliance with health and safety regulations, including fire safety, first aid, and risk assessments
  • help organise internal and external events, including team socials, client functions, and studio presentations

Team and project support:

  • provide day-to-day assistance to the production and project teams
  • support creation of client documents, manuals, and technical submittals
  • maintain sample library and showroom, tracking sample boxes and logistics
  • assist with project folders, CRM updates, and general database management
  • liaise with clients, suppliers, and contractors as needed

Marketing support:

  • assist the communications manager with social media, website, and digital content
  • support the creation of promotional materials, articles, and presentations
  • help organise project photography/video shoots and maintain content libraries

HR and people support:

  • assist the operations manager with HR administration
  • support job postings, interview scheduling, onboarding, and training coordination
  • maintain accurate employee records and assist with policy updates

Finance and operations:

  • support insurance renewals and company fleet admin
  • track budgets for studio supplies, events, and other operational costs
  • monitor shared office inboxes and respond or forward as required
     
    About you:
  • at least one year of experience in an office or studio support role, ideally within a creative or design-led environment
  • highly organised, proactive, and able to multitask with confidence
  • fluent in written and spoken English, numerate, with excellent communication skills and strong common sense
  • team player with a “can-do” attitude and willingness to take ownership
  • proficient in MS Office, with experience in Adobe InDesign/Photoshop and CRM systems beneficial

Salary range £28k to £30k+ dependant on experience

Interviews will take place from mid October, with a flexible start date for the right candidate.
