Studio and finance coordinator

We Made That is seeking a sudio and finance coordinator to join its team in London.

Are you a motivated and energetic coordinator who enjoys working as part of a creative studio environment?

We are seeking an eager and adaptable studio and finance coordinator to join our team of architects, urban designers and researchers based in Bermondsey, London. You should be resourceful and committed, with an attention to detail and thoroughness.

We’re looking for someone that thrives in a productive and fast paced working environment and is keen to gain knowledge and experience in the different operational aspects of our practice. Prior professional experience in the built environment, architecture and design sectors is a desirable advantage but not essential.

The role is incredibly varied, so adaptability and flexibility will be required to meet the wide spectrum of requirements, which span hands-on tasks to ensure the smooth running of the office and organising team social events, through to financial administration and project support. We expect this
to be a full time role but can accommodate different working patterns at lesser hours.

Responsibilities and tasks

The ideal candidate will be capable of working closely with the practice leadership and wider team, in a role which will include financial administration, office management and broader support. Whilst you may not have experience in all of these areas, we’re looking for a driven applicant keen to expand their knowledge and skill set as part of this varied and exciting role.

Key roles will include:

Financial administration:

  • undertaking invoicing and chasing debtors
  • processing payment runs and liaising with suppliers
  • maintaining accurate book-keeping records, processing VAT returns
  • supporting external accountants with information for management and annual accounts
  • processing staff and project related expenses
  • preparing financial reports and budgets, analysis and planning to support the financial health of the practice

General administration:

  • scheduling weekly, quarterly and ad hoc team meetings, strategy sessions and other social events, including providing coordination and support where necessary
  • coordinating and providing information for insurance renewals, accreditations and memberships

Office coordination:

  • managing incoming phone calls, emails and post
  • greeting guests and visitors to the office
  • maintaining supplies of stationery, cleaning and other office supplies and ensuring everything is in good working order
  • liaising with all office suppliers, contractors and consultants

IT coordination:

  • liaising with external IT support
  • assisting with set up and maintenance of hardware, software and systems
  • fielding and fixing basic IT issues and queries

New business coordination:

  • interfacing with procurement portals on clarifications, deadlines and tender requirements
  • supporting with bid submission documents and templates
  • maintaining internal CRM systems and managing new business enquiries

Quality assurance and project support:

  • understanding environmental and social aspects of our work
  • maintaining up to date information on all office systems, policies and procedures and ensuring administrative and organisational compliance
  • monitoring, reviewing and assisting in the completion of QMS and B-Corp requirements

Competencies, skills and experience

The ideal candidate will have prior experience of office or practice administration at a small/ medium-sized professional services business, as well as being organised, self-driven and a personable team player.

Essential:

  • financial literacy ranging from invoicing to budget management
  • excellent command of spoken and written English
  • relevant professional experience within an office/financial administration role
  • familiarity with bookkeeping software (Xero, Quickbooks etc)
  • proactive approach and with solid prioritisation and organisation skills
  • fluency in MS Office (Excel,Word)
  • conscientious, with strong communication and interpersonal skills
  • strong numerical and analytical skills and with excellent attention to detail
  • exemplary time management skills and an ability to multi-task and work against tight deadlines
  • demonstrated commitment to professional development and learning

Desired:

  • experience in using CMAP
  • proficiency in Adobe InDesign
  • qualification or experience in business management/finance
