The brand
Alexandra Llewellyn works with British makers to create bespoke backgammon boards, games tables, games and furniture for clients all over the world. We sell through Harrods and The Conran Shop, but the majority of our work comes directly through our website. The business started eight years ago and has organically grown from strength to strength. Our specialty is in creating unique one-off designs for HNWIs, working with an inventive combination of materials and techniques. We occupy a very specific niche in the luxury market, and plan to expand into more product.
Alexandra also collaborates with artists and designers such as Alice Temperley, Terry O’Neil and Tom Hammick. Our clients include Luxury hotel chains such as Rosewood and the Oetker Collection and others such as Richard Branson, Elle Macpherson and American Vogue. We have recently completed a year as a Brand of Tomorrow, a place awarded by Walpole UK.
The role
We are looking for an independent and resourceful individual to efficiently and effectively run our east London studio, and accordingly oversee production and stock for our growing business.
As we are a small business, the successful candidate will quickly play a vital role in the team, closely supported by Alexandra and account manager, Ines. They need to be able to think on their feet, be a quick learner, and extremely responsible and organised. Dedication and hard work is essential to enjoy working as a part of our team. They must also be methodical and will be expected to create and implement systems to keep track of stock, and all production components.
This is an exciting role with lots of opportunity to grow and progress within a dynamic, young and flourishing business.
Office management:
- keeping the studio tidy and organised, ensuring the studio is spotless for any meetings
- booking and tracking of all shipments, including client deliveries. Keeping the client up to date
- answering the phone – fielding calls and talking to potential clients
- data entry – weekly maintenance of enquiry/contact/client/sales databases
- keeping track of office supplies and order as needed
- invoice and purchase order processing
- management of supplier accounts across materials and products
- ensuring that all materials, stock and samples are filed and organised
- maintenance of constant stock levels and coordination of delivery dates and lead times
- maintaining the back end of our new transactional website
- sourcing of new suppliers – always searching for better quality and cost
- using XERO, to create purchase orders for suppliers and keep Alexandra up to date with budgets and expenses
- quality control of all new stock upon delivery, immediately making contact with suppliers about any problems
- wrapping and preparation of orders for shipping
- ad hoc – as required
Essential key skills and experience:
- attention to detail – we create exceptional luxury products, and all conduct and communication must reflect this
- previous experience in a similar role is essential
- must be calm and confident and able to think on their feet. Must be practical and have intiative
- the ability to think clearly and come up with intelligent solutions to problems
- excellent IT, organisational, and communication skills – both written and verbal
- experience with Shopify and e-commerce is a plus
- be confident and able to help customers that may call directly regarding their orders
- we are constantly busy, so you must be highly organised and able to create a structure for your week ahead of time, ensuring that nothing is missed
General:
- we hold bi-monthly studio events which will require working that evening. Also occasional one-off trade shows or exhibitions
- to respect confidentiality and carry out all the duties and responsibilities in a professional manner
- the nature of the product requires lifting heavy items, and can be physical at times
- to undertake any other duties and responsibilities when requested
- deliver the highest level of service to all customers as specified
