Eight Inc. is on the hunt for an operations manager to join its London-based team
Job description
The operations manager will be a competent, energetic, proactive individual responsible for ensuring the day-to-day operational requirements of the studio are fulfilled efficiently and to the highest standard. They will share our passion for power and beauty of design, and understand that their role is as pivotal in the success of our business as the designers who craft the ideas we win awards for.
This hybrid role will work closely with the programme director and studio Principals in running a smooth and efficient recruitment process, to find the best permanent and freelance talent to work alongside with in the London office.
This person will also work across other operational areas in the office such as HR administration, studio principals’ administration and managing/supporting the studio manager in the everyday running of the office.
This person will have experience working on resourcing and recruitment within a creative studio, along with a flexible approach to their role — comfortable with the changing priorities that such a dynamic environment presents.
The successful candidate will be a team player who will provide a speedy, pro-active and reliable service, along with being helpful, courteous and responsive to the needs of the wider team as and when required.
Responsibilities
Recruitment & Resourcing Management… (50%)
- develop and manage full lifecycle recruitment services
- work closely with principals and design directors in finding the best talent
- act as main point of contact for all resourcing issues and matters
- build excellent relationships with external recruitment agency partners
- manage recruitment databases to ensure they are updated regularly with the latest information
- manage freelancer process, from booking them to signing NDAs
- coordination and facilitation of a weekly resource meeting to review each resource and resolve clashes across projects
- manage resourcing spreadsheet and 10,000ft account, by working closely with Programme team to ensure they are both up to date and time sheets are completed on time
Principals’ Administration… (25%)
- principals’ diary management and coordination with team leads
- monthly expense submissions
- weekly time sheets submissions
- weekly alignment meetings
- ad-hoc admin requests as and when required
HR Administration… (25%)
- manage new starter process with support from studio manager
- manage database of employee information
- work closely with principals with training and development programmes
- implement culture initiatives with principals
- work closely with department leads to coordinate annual staff reviews
- monthly check-ins with COO and CHRO on HR updates
Experience…
- seven+ years of work experience
- PA to high-level management
- hands-on recruitment and resourcing experience within a creative design studio environment
- experience in managing one-two employees
- experience of working alongside a small team of directors
- useful to have a an understanding of UK employment law

- excellent verbal and written communications skills (English)
