Project administrator
PDP London is seeking a project administrator to join its growing team.
We are an award-winning architectural practice, looking for an energetic and organised project administrator. This is a role to support one of our architectural studios with responsibility for efficiently managing control of documentation, and to support our wider practice, in particular our marketing and business development team.
Studio based role (approximately 20 hours per week):
- working on one of the most prestigious building projects in London
- responsibility for the studio information management and document control systems, including managing quantities of incoming and outgoing information, and ensuring efficient recording of information on the company server
- issuing drawings in paper and electronic form and via FTP site, including the preparation of issue sheets
- point of contact between studio and site management team
- liaising with client and contractors over document deadlines
- monitoring additional fees and liaising with the finance department to ensure these are invoiced accurately
- quality control of all written communications/ information for the project team (letters, minutes, emails etc.)
- taking messages, arranging meetings, diary management and all issues relevant to the smooth running of the studio and projects based within the studio
- keeping regular team calendars up to date, including the studio calendar and studio holiday calendar
- general administrative duties including photocopying, scanning, filing, archiving, binding and outgoing post
Cross practice role (approximately 20 hours per week):
- research into key sectors identified by the business development group
- inputting data to Sharepoint
- identifying target events and publications for creating marketing content, or speakers in order to create networking opportunities and market our brand
- booking tickets and travel
- assisting with the organisation of internal events, internal communications and CPDs
- helping out as part of the wider administrative team as and when required, including reception cover or holiday cover within a different studio
Required experience and skills:
- proven experience in a similar role, coordinating a busy work schedule
- good working knowledge of Microsoft packages including Word, Excel and Outlook and Adobe InDesign essential
- working knowledge of document control systems desirable
- experience in a construction, architecture or design-based studio is desirable
