Facilities manager

Zaha Hadid Architects is seeking a facilities manager to join its London team.
As facilities manager, you will manage all facilities services relating to our London offices including:
- managing the overall services provided within facilities
- ensuring the security of the building
- responding to emergency situations or other urgent issues involving the facility and utilities; this can be 24/7
- creating a suitable and safe environment for the purpose and needs of the offices and staff; ensuring all facilities meet government regulations and environmental, health and security standards
- managing and reducing operation costs
- creating a budget for various facility needs and expenses
- comparing costs for various services and goods before choosing a supplier
- testing and inspections of all facilities and services
- managing the maintenance of the buildings by performing repairs or contracting maintenance services as needed
- tracking building upkeep as well as anticipated long- and short-term improvements and maintenance
- conducting and documenting regular facilities inspections and reports for the landlords
- advising on increasing energy efficiency and cost-effectiveness
- interviewing and hire contractors, such as maintenance staff and janitorial services
- implementing and oversee safety policies, H&S, fire risk etc.
- managing the offices’ fire marshals and first aiders
- managing the access keys (fobs) for staff access (Paxton system)
- managing the security/recording system
- coordinating intra-office moves including technical and IT equipment
- procuring all facility-related services, office and building supplies, refreshments, snacks etc.
You will need to have five years or more solid experience within a multi-site company in addition to a full UK driving licence – experience of an architectural or design practice would prove valuable.
Approachable and adaptable, with a good understanding of the needs of a busy office, you will be a first-rate communicator and be able to operate both practically and strategically managing both the short- and long-term needs of the practice.
