Our Waterloo studio is a bright and spacious converted Victorian school building which forms an inspiring backdrop for our creative work. We are looking for a finance and administration manager to join our friendly and busy studio.
Role
Assisting the directors by managing the financial, administrative and HR processes in in the business. Actively engaging in the day to day running of the practice as well as providing commercial insight and practical advice in relation to future projects and business development. This is a great opportunity to take on a key role and to be involved in the strategic development of the practice. While administrative and HR support will be provided, this is a stand-alone role which the successful candidate will be able to develop and ‘make their own’.
Responsibilities
- management of all day to day finance functions including payroll, accounting processes, monthly billing, VAT returns and debt collection
- manage/produce regular management and financial reports including cash flow, forecasting, budgets, quarterly accounts and annual statutory accounts (in conjunction with external accountant)
- while implementing all financial controls, anticipate any potential financial issues or concerns
- proactively propose solutions and implement ongoing improvements
- work with senior staff on full tender/appointment processes, fee proposals, documentation and bids
- assist the directors to oversee and manage all support staff including the finance and HR assistant, the studio manager and the PR and marketing manager
- manage staff appraisal processes and all other HR procedures/policies to ensure compliance with statutory regulations, and deadlines, including P11D, PSA, salary/bonus reviews, share schemes, dividend, benefits, insurances and charge out rates
- assist directors to manage/liaise/negotiate leases on office premises/ under lessees and sub-tenants
- provide pre-emptive support in relation to all premises related matters
- oversee facilities, services, maintenance and other office requirements (recycling, renovations, event planning etc.) including monitoring of costs in relation to budget
- negotiate and implement contracts for all office equipment/suppliers on an annual and ad hoc basis including all insurances and provide relevant data for industry wide surveys
- provide assistance in relation to any other practice related duties as requested by the directors
Skills and experience
The successful candidate must be a highly organised, conscientious and confident person, with excellent communication skills, a positive attitude, and a friendly, engaging disposition. Excellent time management and an ability to multi-task will be essential. At the same time the successful candidate must also handle sensitive information with complete discretion and be fully aware of the confidential nature of their role.
In addition the role requires candidates to have the following experience:
- a recognised accounting qualification
- minimum three years’ continuous experience in a small to medium sized professional services practice or similar
- experience of working in an architectural practice or other design based discipline an advantage
- demonstrable experience of delivering to deadlines
- knowledge of Xero and CMAP an advantage
- experience of preparing management accounts
- knowledge of managing project finance systems
- management experience
