Friendly London team for large Chinese manufacturing company seeks junior project manager/project coordinator to help run both residential and hospitality projects. This would suit either someone newly trained as a project manager or with a minimum of two years’ work experience in a related field. (Candidates from a design or luxury brand background preferred).

Job description

Working closely with both the general manager and sales manager, you would be helping to run some of our key projects. As such this would suit a highly organised multi tasker, able to prioritise their work load efficiently, quickly identifying key priorities in order to keep each project on track.

Job role:

  • reporting daily to the general manager, you should be able to prepare timelines/work programs and exchange information between client and our factory in China in a clear and accurate manner
  • responsible for processing all standard sales orders, providing quotations in Microsoft excel format and placing factory orders on our in-house ordering system
  • project support as necessary, preparing fabric/finish schedules and placing third party orders for fabrics, stone etc. as required. There will also be occasions this post holder will be asked to manage bespoke projects with the support of the general manager. Tasks include printing and filing workshop drawings, assisting the design development process and communicating clear instructions to the client and factory colleagues
  • reviewing designer’s specifications, issuing shop drawings and finish samples on an almost daily basis. Although you are not expected to have come from a manufacturing or design background, the projects team are expected to learn the basics of reading and understanding factory workshop drawings to help facilitate the design development process. All drawings must be carefully checked to help identify errors before sending them on to clients, ensuring all the details are consistent with what the sales team have agreed
  • identify key priorities quickly, prepare and maintain tracker schedules, to carefully log all project details on excel, ensuring an accurate record of drawing approvals and finishes on each given project
  • procurement of third party orders for fabrics, stone etc. as required. Tasks will also include printing and filing of drawings, updating project information on Hubspot, as well as careful maintenance of project job folders on sync
  • expected to provide clients with the highest level of service possible, by responding promptly, with as much detailed information as possible in a courteous manner
  • clear communication, with clients, colleagues and primarily with head office, giving clear and accurate information with as little assumption and guesswork as possible
  • arranging courier deliveries of sample and fabrics (within the U.K. and to our head office in Hong Kong)

Desirable skills:

  • organised and proactive with a good eye for detail and the ability to prioritise
  • a positive and highly organised facilitator who recognises the importance of providing key support in order to drive sales
  • English fluency is essential as we require excellent verbal and written communication skills
  • interest in furniture/design a bonus but not essential, providing you have a good eye for detail
  • good Microsoft word and Excel skills, this person will also be expected to become proficient in the use of our in-house ordering system
  • minimum of two years’ work experience in relevant field
  • would suit someone who likes to play a part in the design development process, so an industry specific PM would be ideal

Employment details and benefits

  • full time PAYE contract initially starting with a six-month performance review
  • overtime not paid, but time in lieu returned as agreed with the general manager
  • pension scheme with small employer contribution
  • 20 days holiday per year (to include three days of Christmas close down) after one calendar year of continuous employment to increase to 23 days. After three full calendar years of continuous employment to increase to 25 days per year
  • office hours 9.30-5.30pm with half an hour for lunch
