Studio manager
at Tim Groom Architects

Tim Groom Architects is looking for a studio manager to join its Manchester office.

Based in Castlefield, not far from Deansgate station, we are a well-established, award winning architectural practice committed to exceptional standards of design.

We are looking for a dynamic, highly-organised and adaptable individual who will have a central role managing the core operational functions of the practice. You will be the lynchpin of the studio and custodian of company wisdom who is able to encourage a systematic approach to practice know-how. You will work closely with the directors and the architectural team to co-ordinate the day-to-day running of the studio in areas including IT, facilities, finance, HR and social media. In addition to overseeing the studio, the role includes PA duties for the directors.

Key duties include

Studio management:

  • management of telephone and post
  • greets and manages visitors in a friendly and welcoming way
  • manages meeting rooms and assists in setting up meeting technology
  • orders stationery and supplies
  • manages the sample library
  • manages and organises social events
  • ensures the studio space maintains a high standard of tidiness, cleanliness and organisation
  • oversees facilities management and assists with practice health and safety management
  • acts as fire warden and first point of contact for first aid

IT and software administration:

  • liaison with IT and printing providers
  • manages user access, queries, reports and faults on key software packages utilised by the practice
  • manages maintenance and renewal of contracts for key software packages utilised by the practice
  • ensures server back-up storage process is properly managed

Marketing and PR

  • assists in preparing and maintaining content for company website and social media accounts
  • assists the architectural team in producing brochures and presentation boards

Financial administration:

  • processes and approves monthly expenses in line with company policy
  • manages invoicing and assists with production of fee proposals, payments schedules and forecasts
  • assists with bookkeeping activities and entering financial information onto Sage Accounting system
  • maintains and reviews subscriptions and bills as required

Administrative support:

  • timesheet administration
  • supports project teams with document control and distribution as required
  • maintains and organises the electronic filing system
  • prepares and edits documents, reports and letters
  • assists project teams with ad hoc administrative tasks
  • assists with QA activities and with projects focused on developing systems and protocols
  • sets up project files and manages archiving

HR administration:

  • assists with recruitment and manages on-boarding process for new starters
  • maintains company policies and procedures
  • monitors and records holiday and sickness absence
  • assists with organisation of CPD events

PA role:

  • assists with the day to day running of the practice by providing administrative support to directors
  • screening phone call, enquires and requests for directors
  • organising personal commitments of directors as required

The successful candidate will have excellent communication skills and meticulous attention to detail. They will be a resourceful self-starter, able to manage competing priorities and deadlines whilst maintaining a positive and friendly attitude.

Applicants should be able to demonstrate an interest in architecture and design and an educational background in the arts is preferable. Previous experience working in similar roles within the creative sector is desirable.
