Project coordination and compliance manager

Hopkins Architects is seeking a project coordination and compliance manager to join its team in London.
Purpose of role
This is a varied role where you will play a vital part in supporting the principals and architectural staff in ensuring the smooth running of the practice, as well as take responsibility for ensuring the practice’s policies and procedures comply with regulatory standards. You must have excellent organisational skills and a can-do attitude.
Technical skills/qualifications required:
- MS Office (Word, Excel, PowerPoint)
- Adobe Creative Suite (InDesign, Photoshop)
- extranet/ftp site usage (4Projects, Asite, Aconex)
- experience using project management software (Rapport3)
- experience of maintaining, implementing and developing procedures and admin systems
- strong administrative background
- proven experience as a compliance manager (ISO 9001 or similar)
- certified compliance professional is a plus
- experience of managing a quality and/or environmental management system
- minimum Internal Auditor qualified to ISO 9001 and ISO 14001 preferred

Areas of responsibility:
- administer the Practice’s ISO QMS 9001 (quality management) and EMS 14001 (environmental management) standards including; manage the monthly internal ISO meetings, carry out internal audits, identify risks and opportunities, review environmental aspects and impacts and review and track practice-wide objectives
- lead twice yearly quality and environmental external audits with accredited certification body
- prepare management reports regarding compliance operations and progress
- draft, modify and implement Practice policies in relation to compliance management
- keep abreast of regulatory developments as well as evolve best practices in compliance control
- coordination of new project setups including creating these on the practice’s in-house systems and notifying project teams
- provide project coordination support to project teams including managing project drawing record reports for projects nearing completion and completed
- manage the practice’s use of any common data environments (CDEs) that are used, including initial meetings as to how these systems will align with in-house processes and the control of information through these systems
- assist in coordinating external professional indemnity insurance reviews and internal project control file peer reviews
- work with the project coordinator to manage the review of the practice’s office manual
- ensure office health and safety (H&S) compliance and routine checks are carried out and liaise with practice H&S advisors
- manage the e-learning platform provided by the Practice’s H&S advisers to cover H&S training that may be required
- review H&S risk assessments to ensure they remain up to date
- manage the monthly H&S meetings, minute the outputs and track these to closure
- work alongside the practice manager to implement the practice’s archive review programme
