Operations manager

Holte Studio is hiring an operations manager to join its team in London.
Holte is a fast-growing system furniture producer and design studio based off Broadway Market in Hackney, East London. Our design studio is founded on the principles of democratic and sustainable design – we believe good design and high quality materials should be available to everyone and should have as low an impact as possible on our environment. 2022 is going to be an exciting year for Holte, we’re launching new products, expanding the team and developing a new modular system kitchen.
We are looking for a proactive and dynamic operations manager to join our multi-disciplinary team. We are a small, growing company and the successful candidate must be flexible and prepared to take the lead across a number of different areas.
Are you:

Do you have:
- minimum seven years’ professional experience in a studio or office environment?
- team management experience?
- operations, project management or production experience?
- accounting qualifications or significant experience to the same effect?
- fundraising experience, either directly or indirectly?
- proficiency in Adobe InDesign or other layout design software and Xero or similar accounting software?
- proficiency in Microsoft Office suite?
- excellent English language skills? (The role involves a large amount of communication by phone, email and face-to-face so this is vital but language training can be provided where required)
The role will be diverse and will evolve with the business but here are some of the areas and responsibilities it covers
Accounting and finance:
- liaise with company accountant to ensure all accounts records are accurate and carried out within accounting and HMRC deadlines
- ensure payment of all invoices correctly and within payment terms, manage payroll, salary payments, pensions and other PAYE duties
- monitoring project bank receipts, confirming payments with design team and credit control
- carry out financial analysis to establish the company’s current financial position including working with the design team to assess project profitability
- present financial reports to the Directors including business financial snapshots and forecasts
- model prospective funding routes and establish budgets with the directors for marketing, product development and other major projects
Business development:
- work closely with the Directors to develop the company’s business plan
- research and report on funding options and opportunities
- carry out annual price and cost reviews
- work with the directors towards B Corp certification
Marketing and PR:
- first point of contact for PR/Comms consultants, editorial consultant and social media consultant
- manage product launch and marketing events alongside directors
- coordinate with directors and consultants to create marketing plans and programmes including journal posts
- liaise with photographers and clients to arrange project photoshoots and attend where necessary
- maintain and update the website including uploading new projects to the website and write summaries and specs
- perform general basic website updates using CMS and liaise with developer regarding scheduled monthly maintenance
HR:
- manage HR software and liaise with HR consultants
- maintain and review policies to ensure compliance with current UK law
- manage major HR matters e.g. maternity/paternity, flexible and remote working, EDI development, promotions and benefits
- oversee recruitment process including coordinating with directors to write job descriptions, post job adverts and managing interviews
- manage staff inductions, appraisals and performance management and reviews
Studio management:
- maintain and order IT equipment, software licences and subscriptions
- coordinate studio maintenance works including cleaner, window cleaner, fire and security companies, energy companies, heating/cooling system company etc.
- manage insurance renewals and updates
- plan and manage studio events, team parties and staff gifts
- manage workflow including implementing changes and overseeing accreditation applications if required
- manage all business legislation changes and manage their effect and implementation into the practice i.e. GDPR, HR, Pension changes etc.
