Uncommon Land is a landscape architecture practice specialising in the design of beautiful and contemporary external spaces in tune with their site and adjacent architecture. The team have designed a diverse portfolio of public realm, landscape, garden and installation projects in the UK and around the world, telling the story of places through memorable, greener and sustainable environments.
About the role
The administrator provides support to the Benoy and Uncommon Land directors, managing all aspects of their travel and administration. The role also provides cover to front of house reception.
Key responsibilities:
- secretarial support to the directors, including typing and editing minutes, reports and other operational documents
- manage and maintain records on SharePoint ensuring that the relevant information is in the appropriate folders
- act as the go to person for director administration
- coordinate and book project client meetings
- co-ordinate internal director meetings making all necessary arrangements
- receive BD collateral for directors. Make minor tweaks/adjustments to client presentations
- undertake travel arrangements for Directors and team members, arranging visa applications, hotel and travel bookings through our travel provider
- make appointments, booking lunch/dinner venue and updating related diaries with such
- update contact lists and input client’s contact details on Cito
- organise and coordinate company / team events, e.g. lunches / ordering and coordinating food for meetings in the loft / social events
- general presence as a day-to-day housekeeper / coordinator for the team
- general office administration
- deal with company post
- order stationery
- ensure studio is maintained in line with studio standards, liaising with other departments as necessary
- cover breaks and leave at reception when necessary
- perform other ad hoc administrative work as required
About you
Skills and experience required:
- proficiency in using Microsoft Office, SharePoint, Oracle
- experience of working in a fast-paced, people-orientated environment, juggling many priorities at once
- experience of working within a professional service and/or built environment business is preferred
- good organisational, attention to detail and problem solving skills
- a proactive mind-set and good team player
- excellent written and verbal communications skills
- a confident personality that can communicate and engage at all levels
