New business and marketing assistant/PA

Maccreanor Lavington is seeking a new business and marketing assistant/PA to join its team in London.

We are looking for a passionate and driven new business and marketing assistant/PA to directors to join our RIBA award winning studio, working with our friendly team of exceptionally talented and dedicated people. This is a unique opportunity to join an innovative and respected practice and support the growth of our new business and marketing output while supporting key members of the architectural team.

Some of your previous experience may include supporting a complex sales or tender process, diary and inbox management, administration and or supporting a marketing team. You may have previously worked in an architecture practice in a business support role, or another creative sector.

We are looking for someone who is driven, has a passionate and enthusiastic outlook and has a desire to learn more about the industry. It is important that you are flexible, willing to collaborate and are a good communicator.

Key responsibilities
New business:
  • support coordination of new business process between directors, new business team and client, assisting with administration, meeting set up and presentation
  • liaise with stakeholders through out the bidding process to arrange meetings ensuring attendance of key stakeholders, take and circulate notes
  • data and information coordination and administration of bid pipeline in CRM and app, providing day to day support for managing the bid process and supporting transition to app-based management
  • manage new business inbox, ensuring it is kept tidy, and inquiries are effectively managed ensuring positive experience for prospective bids, raising any information issues from client portals to bid teams and vice versa
  • manage client portals; ensuring bids, terms and conditions and other information is both uploaded to the relevant client portal and stored locally, communicating any clarification periods and deadlines to the new business team
  • additional responsibilities as directed by the new business coordinator
Marketing:
  • support marketing manager with preparation for exhibitions, conferences and sector lead events
  • lead the administration and filing of marketing assets, fulfilling imagery and asset requests as required
  • management of marketing inboxes, collating information and escalating to the marketing manager when appropriate
  • support the management of the marketing calendar by identifying and logging dates, categories and deadlines and communicating reminders
  • arranging interviews and assisting with the fulfilment of PR requests
  • coordinate with architects for award submissions
PA:
  • manage diary and inboxes for directors, escalating emails where relevant and arranging meetings and invitations
  • prepare presentations and print documents where required for meetings
  • coordinate travel and bookings for director
  • lunch and holiday cover for reception, answering phone calls, assisting with post and parcel deliveries as required
  • fulfill PA duties for NL director when in London
  • point of contact and support for colleagues visiting from our Dutch offices
