With over 25 years’ experience as an independent furniture company, TFP provides support to project teams throughout the full lifecycle of furniture services, from furniture consultancy and procurement, to design, sustainability, logistics and post-project support.
With teams across London, Manchester, Glasgow, New York and Paris, TFP is entering an exciting new phase of growth and has an opening for a highly organised and meticulous bid manager to join its Marketing team in London.
About you
The successful candidate will be highly personable and self-motivated with excellent time management skills, and a keen eye for detail.
About the role
You will be working with the Sales and Marketing teams to produce bid documents, proposals and presentation materials to the highest standard to help TFP win new work. You will be responsible for keeping all bid master files and templates up to date, and work closely with Marketing to create new information and content to ensure that TFP’s bid material is always kept on brand, fresh and relevant. You will help evaluate potential projects with senior leadership in order to advise on decisions to tender for work, lead kick off and strategy sessions and manage freelance design support where required.
Key responsibilities and accountabilities:
- prepare accurate and high-quality bid documents using Adobe InDesign, in a fast-paced, deadline driven environment
- coordinate with the relevant account managers and other key stakeholders to produce material for bid documents, RFPs, RFQs, pitch interviews and presentation materials
- support with analysis of brief documents and undertake research on potential projects or clients
- attend fortnightly action meetings with sales managers and marketing to understand what is coming up and allocate resource appropriately
- manage received bid documents and lead on all meetings relating to production of tender response, pitches and presentation material, managing bid/project timeline to meet deadlines
- manage and collaborate with freelancer designers when additional resource is required
- proof reading for correction of grammatical, punctuation and spelling errors
- liaise with external printers to print and bind client documents, when required
- work closely with relevant account manager / tender project lead on the submission of a tender to ensure that deadlines are met and all files are stored correctly
- management of bid master templates, ensuring all material is kept up to date and easily accessible
- management of bid archive and responsible for tracking bid outcomes and recording feedback
- supporting the marketing team in writing and editing project case studies and producing new content for master bid files
- collaborating with Marketing in reviewing and improving bid templates and pitch materials
Key requirements:
- experience of working in a bid coordinator or bid manager role in a design or professional services company
- experience and understanding of the architectural bid management process
- good technical knowledge of Adobe InDesign and Adobe Pro
- good MS office skills – inc, Word, Powerpoint and Excel
- excellent written English and communication skills
- strong organisational skills and an excellent attention to detail
- ability to manage your own time and deliver the highest priorities when time is short
- able to support and work with a variety of departments in a fast-paced environment
