Ben Adams Architects is seeking an administrator/office manager to join its team in London.
Experienced administrator/office manager
Ben Adams Architects is an award winning architectural practice, looking to hire an experienced administrator/office manager to become a key member of its team.
The ideal candidate will have experience managing a busy office (within the architectural or creative industry an advantage but not essential) and will have excellent attention to detail, be flexible with a positive attitude, a self-starter and problem solver. We are looking for someone keen to develop their experience and management abilities but also willing to carry out the basic tasks required in supporting a busy practice.
The successful candidate will work closely with and provide support to the practice manager as well as the senior management team and will manage the office administrator.
Salary range for this position is £32,000 – £38,000, subject to experience.

This is a varied role encompassing responsibilities across different areas.
Responsibilities include but are not limited to
Office management:
Management and maintenance of office facilities and services: landlord liaison, general repairs and upkeep of facilities and photocopiers, accounts and utilities (phones, broadband, electricity, alarm system, business rates etc.)
Getting quotes, presenting information to the senior team.
General housekeeping, ensuring office is tidy and well stocked.
Manage diaries for the Founding Director and senior staff.
Management of office policies including GDPR.
Managing office administrator.
Managing office insurance, subscriptions and memberships.
Managing post and office correspondence.
Finance admin assistance as needed.
HR
First point of contact for staff queries.
Managing recruitment – placing adverts, receiving and sorting applications, scheduling interviews.
Scheduling staff annual appraisals and reviews.
Assist the practice manager to plan and organise staff events (quarterly socials, festive feast etc.).
Timesheets – ensuring staff submit and are up to date.
Monitoring staff leave.
Assisting with health and safety within the office environment and annual risk assessment.
New staff set up and onboarding.
Skills and attributes
High standard of written and spoken English.
Solid knowledge of Microsoft Office is essential, Adobe Creative Suite is desirable.
Attention to detail.
Friendly and approachable.
Ability to prioritise, multi-task and manage workload.
Proactive and logical approach to problem-solving.
Flexible and a team player.
This is a full time position based in our office, with the possibility of working remotely some days, depending on office needs.
