Role

Working closely with the partners, project directors and project management director, the operations manager is responsible for leading the daily operations of the studio, as well as maintaining a positive and collaborative working environment.

Successful candidates will have at least three years experience within a leadership role in a creative business, with prior experience in firm finance, HR and operations management.

Strong communication skills are essential, as is the ability to communicate confidently both internally and externally. Attributes of the successful candidate will include: a high level of personal integrity, discretion around dealing with confidential matters, an empathetic and ethical approach to all situations, and a willingness to constantly grow and reassess best practices.

The operations manager should maintain good relationships with the whole studio team, encouraging and promoting opportunities for individual growth and development at all levels.

Responsibilities

Studio operations:

  • oversee all operational elements of the studio, offering support and guidance to the partners on improvements and efficiencies
  • overseeing major IT decisions, and advising on office software choices
  • establishing and publicizing internal office standards and protocols
  • leading office meetings
  • oversee the organization of all company events and trips
  • advise on any major decisions surrounding the physical space of the studio
  • work in conjunction with the studio assistant and finance coordinator to ensure all studio systems are running smoothly

HR management:

  • responsible for all HR-related matters, maintaining a supportive and collaborative studio culture that prioritizes staff welfare. Liaison with external HR consultant to obtain advice if necessary
  • oversight of time tracking software
  • contribute to resource management on projects together with the senior team to ensure teams are running as effectively as possible
  • coordinate annual performance reviews
  • manage the recruitment process, updating job descriptions and ads as required and preparing offer and contractual information
  • perform exit interviews
  • assist with employee documentation or letters needed for staff visas

Employee benefits administration:

  • leading the annual selection of staff benefits
  • point of contact for employees regarding any benefits questions. Liaise with external HR consultants for any special advice or guidance
  • leading annual information session for staff
  • enrolling new employees

Financial:

  • oversee business operational costs
  • advise on any capital expenditures
  • take part in the monthly project fees and expenses billing process
  • assist with ad hoc financial analysis
  • assist with the annual review of the 401(k) plan

Benefits details

This position is full-time 37.5 hrs/week and includes access to a full slate of benefits (PTO, sick days, health/dental/vision insurance, 401(k) 4% salary match after one year of employment, commuter benefits, summer Fridays).

We currently work on a hybrid in-office/off-site arrangement with employees, and this role would require being onsite the majority of the work week.
