Soundings is hiring a studio manager to join its team in London.

Soundings is a community and stakeholder engagement consultancy working on some of the most significant and challenging built environment projects in London and the UK.

Based in Shoreditch, we are a team of 25 passionate and fun individuals who have won a reputation for championing community engagement and co-design, producing innovative and effective solutions for supporting local people to shape their built environment. Our client list ranges from local authorities, housing associations and big-name developers to smaller community organisations and charities.

Soundings are currently looking for a highly experienced studio manager with a ‘can-do’ attitude and bags of energy to act as a central point of contact for all things relating to finance, HR, office facilities and quality management systems.

You will be responsible for

Finance:

  • overseeing general book keeping activities including issuing client invoices, managing creditors and debtors and handling all bank transactions
  • working closely with our accountant to ensure accurate data entry on SAGE
  • supporting our directors by producing timely and accurate financial reports (training given)
  • compiling project expenses with project teams to invoice to client
  • collating all staff expenses for payment

HR:

  • onboarding new staff
  • issuing employment contracts
  • preparing monthly payroll for an external payroll supplier
  • providing HR advice to directors with assistance from external consultants
  • maintaining up to date information for employee handbook and employment policies
  • scheduling and assisting with preparation for staff reviews
  • managing our online HR platform
  • overseeing company health insurances
  • organising staff health and safety training
  • timesheet software supervision
  • leading in-team wellbeing and scheduling regular social events, Christmas and summer parties

Office and facilities:

  • responsibility for smooth running of the office day to day and providing front of house role
  • liaising with all office suppliers, contractors and consultants
  • liaison with external IT consultant to ensure smooth running of the office and arranging on-boarding and off-boarding of employee computers

Quality management systems

Helping to set up and maintain streamlined, user friendly company processes with the directors, the associates and an external advisor to ensure compliance for the management and environmental management systems ISO 9001 and ISO 14001 audits.

You are

A multi tasker, used to being the ‘go-to’ person, super organised, highly numerate, excellent attention to detail, unflappable, enthusiastic, a lover of challenges and someone who enjoys no two days being the same!

Essential:

  • five plus years’ office management experience
  • knowledge of SAGE
  • creditor and debtor control experience
  • Microsoft Suite
  • strong prioritisation, communication and organisation skills
  • conscientious attitude, with strong attention to detail
  • ability to multi-task and work against tight deadlines
  • an ambition to help support a busy practice

Salary: £38k to £45k depending on experience.
