About Afroditi

Afroditi is a proudly independent, diverse and award-winning hospitality design studio based in West Hampstead, London.

With a portfolio of international clients spanning celebrity chefs, luxury hotels, entertainment venues and spas, you would be joining a hardworking, welcoming and close-knit team.

We’re looking for an extremely well-organised studio manager to join the team and be the face of the studio. We are looking for someone who enjoys wearing many hats, pitching in and getting involved with all aspects of Afroditi life. The role is a mix of reactive and proactive; we are looking for a calm and collected individual who thrives in a fast-paced environment and can prioritise effectively.

About you

The right candidate will have least three years’ experience in a similar role and agency, with a real knowledge of how a busy creative studio is run efficiently. The right candidate will be reliable and dependable by nature, with an open and honest demeanour. You will need to be an excellent communicator with great attention to detail and have the ability to be logical, calm and efficient in juggling your responsibilities.

You will work alongside the director to lead the operational, finance and administration side of the practice.

Your skillset

  • excellent command of Excel, Office 365 and confident with Xero
  • a solutions-oriented mindset and excellent problem-solving skills
  • a stickler for accuracy and detail
  • super organised and unflappable
  • self-driven with great initiative and a ‘hands-on’ approach
  • highly organised with strong prioritisation skills, you have the ability to drive work to conclusions and deliver to deadlines
  • able to maintain the highest level of confidentiality, diplomacy and professionalism
  • desire to promote community and culture of a company and become an advocate in this initiative

The role

Finance:

  • liaising with accountants and bookkeepers on accounts, VAT and payrolls
  • reconciling client accounts, project fees and payments
  • raising of invoices, debt management and reporting
  • collating project and staff expenses
  • extracting budgets, reports and statements from Xero
  • assist in preparation of fees proposals and bid submissions
  • organising sales of the AKollection furniture line

Studio management:

  • managing IT, software and telecoms across the business and working closely with our external IT consultant
  • managing all elements of the building maintenance, including the utilities, cleaning, insurance and security
  • being the primary key holder listed for the showroom and studio, managing all other key holders
  • the general day-to-day management of the studio; e.g. post and deliveries, stationery, drinks, keeping the studio clean and tidy
  • meeting and greeting of visitors
  • organising company travel
  • arranging gifts for staff birthdays and Christmas cards/gifts for clients
  • organising regular company socials and monthly company meetings
  • managing the company’s physical and digital filing system
  • managing office costs effectively
  • supporting the director and team in promoting a positive and supportive work environment and company
  • ad hoc support to all team members and director as required, including out-of-hours support on the very odd occasion

HR:

  • onboarding staff and freelancers – issuing perm and freelance contracts, inducting new starters, monitoring the annual leave calendar, presenting and staff issues to the director
  • taking ownership of the company handbook, updating all policies and procedures as and when necessary
  • diarise and organise the bi-annual employee review process
  • liaise with recruiters and HR legal advisors and recruiting and legals
