Stanton Williams is hiring a studio manager to join its team in London.

Summary

The purpose of the role is to ensure the seamless running of the studio and three support functions. Reporting to the director, this role plays a crucial part in anticipating and adapting to changes, implementing appropriate process, and proposing and managing improvement. This role is responsible for overseeing the day-to-day implementation of agreed strategies, aligning with the practices business plan and established protocols. By efficiently managing the premises, facilities, front of house, IT and workshop, this role responds to the evolving needs of the practice.

Tasks and responsibilities

General activities:

  • respond to the objectives of the business plan and lead the implementation for the areas within the role’s scope
  • develop, agree and manage the budgets for all studio management activities
  • attend the monthly support group meeting
  • anticipate, propose and manage changes to support processes and systems, as required by the changing needs of the practice
  • line management of IT, front of house and model making, overseeing performance and supporting development through appraisals
  • complete onboarding for new hires for the areas within the role’s scope
  • manage studio events for staff, collaborating with other support functions as required
  • undertake other support activities that can be reasonably requested by Stanton Williams

Premises and facilities:

  • responsible for the appearance of the studio, taking ownership and making decisions on the organisation and aesthetic of the space, ensuring it is always clutter free and of a high standard
  • manage receptionists to ensure that the office space, studio equipment, supplies and front-of-house service are fit for purpose and properly managed
  • establish and review appropriate service and equipment contracts with external suppliers, maintaining quality versus cost
  • oversee the maintenance and functionality of AV equipment, serving as the first point of contact for AV-related issues, liaising with the IT support manager as required
  • manage the practice’s relationships with the building landlord, management company and managing agent
  • act as health and safety coordinator, overseeing internal procedures, documentation (internal and external), training and audits for compliance with legal requirements and internal protocols
  • oversee and manage the external archive facility, coordinating with the front of house, including supplier communication, budget, record maintenance and timely item deposit and retrieval
  • coordinate, implement and communicate the practice’s business continuity plan

Workshop/model making:

  • manage the workshop manager to ensure that the workshop space, equipment, supplies and workshop service are fit for purpose and properly managed
  • anticipate and manage changes to the workshop area and model making requirements, developing solutions with the workshop manager
  • establish and review appropriate service and equipment contracts with external suppliers, maintaining quality versus cost

IT:

  • manage the IT support manager to ensure that the IT systems, hardware, software and support are fit for purpose and properly managed
  • anticipate and manage changes to the IT requirements developing solutions with the IT support manager
  • establish and review appropriate service and equipment contracts with external suppliers, maintaining quality versus cost
  • ensure that all computers, software or other IT equipment is maintained, operational and replaced by the IT support manager, as required

Skills

Verbal communications skills:

  • demonstrate appropriate language skills, able to represent the practice to visitors, clients and other consultants both face-to-face and over the phone/video call
  • listen effectively to understand what is required, asking questions where relevant
  • describe own work clearly and effectively both in-house and externally
  • respond fully, accurately and promptly
  • present ideas for discussion with other members of the studio, both senior and junior, to collectively achieve a positive result
  • make simple but effective presentations in-house as required

Written, IT and graphic communications:

  • structure an argument and clearly describe ideas in writing, using suitable prose and good grammar
  • accurately record meetings in accordance with Stanton Williams’s QA protocols
  • understanding the importance of clarity in technical information
  • prepare contractual documents without supervision
  • demonstrate intermediate use of Microsoft Word and Excel and a basic understanding of InDesign

Working with people:

  • communicate the ethos and integrity of the Stanton Williams image to others in-house and externally
  • respond quickly, effectively and with good grace to direction from their seniors
  • engage in constructive interaction with colleagues in-house at all levels and externally with suppliers and consultants
  • listen and ask open questions
  • work as an effective member of a team in-house and with external consultants and suppliers
  • successfully brief a colleague, whether a peer, a senior or a junior
  • lead by example, inspire and motivate others

Qualifications/experience:

  • five plus years demonstrable experience of undertaking a similar role
  • demonstrable management experience
  • first aid and fire marshal qualifications would be advantageous

Knowledge:

  • thorough understanding of office procedures, systems and practices within a creative environment
  • health and safety law and legislation
  • ability to review and comment on contracts
  • financial principles
  • IT systems (advantageous)
  • model making workshop operations (advantageous)
  • business continuity planning (advantageous)

The studio manager must:

  • have excellent communication skills
  • demonstrate enthusiasm, accuracy, confidence and pride in their work
