Surface Matter is looking for someone tenacious and resilient to join their London studio and help designers and architects use surfaces to their full potential.

Surface Matter finds interesting materials made by ambitious manufacturers. We house them and carefully distribute the very best to our customers. We help designers and architects select the right processes with every phase of a project in mind, from the design stages and fit-out to the rip-out and beyond, so reuse or recycling is easier when the time comes. We’re always finding and developing better ways to help complete the circle, and we’re creating a community to get more people involved to help keep our materials valuable forever.

We’re looking for someone talented, adaptable and resourceful to join our team. The vital spark in our studio, you’ll keep us organised, interesting and full of energy. The studio manager helps things run smoothly, coming up with creative ways to achieve our goals. Using your eye for detail along with research and your own experiences, you’re always working to enhance the way people find and experience our brand. This is a hugely varied and exciting role, perfect for someone who wants to use their communication and operational skills to really take ownership of our studio to help deliver and grow our brand.

Experience:

  • setting the tone and keeping a positive vibe – selecting playlists, welcoming clients, offering refreshments, organising our spaces, setting up meetings, photoshoots and presentations and discussing how we work and the materials we love
  • shaping the delivery of our brand across touchpoints – checking standards and making sure the way we work matches our standards
  • producing and sharing relevant content, displays, PR materials, collaborations, community outreach and events
  • staying in touch with our suppliers and the industry to understand and share relevant events, resources and developments

Projects:

  • filtering enquiries to the right person in the team – inputting, qualifying and assigning leads and overseeing the effective management of team dashboards
  • thoughtfully managing the delivery of our projects, making sure things are prioritised and activities are updated regularly and well-managed
  • proactively troubleshooting issues, identifying opportunities, suggesting solutions, escalating as needed and making sure problems are resolved and avoided or improved for future

People:

  • help keep the whole team organised and motivated with excellent communication and follow-through
  • mindfully organising team movements and milestones – evaluating and adjusting priorities, coordinating diaries, leave planning, updating contracts and scheduling training and reviews
  • leading team meetings, coordinating office snacks and team outings, contributing to learning, development, rewards and well-being projects
  • working with the impact manager to maintain policies and gather feedback, making sure there’s a clear understanding across the team
  • acting as a resource for the team to address personal/professional matters, sensitively taking the right action where needed

Admin:

  • assisting with accounts – preparing payroll summaries, processing invoices, sending statements, following up on overdue accounts, processing credit applications, agreeing and updating terms
  • updating company, contact, pricing, e-commerce, marketing and project info, arranging documentation and maintaining audit trails
  • coordinating consumables, samples, supplies, contractor services and health and safety checks for successful day-to-day operations
  • making sure our IT systems are working well, raising and resolving issues with providers

Who we’re looking for:

  • attention to detail is a source of energy for you – you love finding efficiencies and effectively planning and executing tasks
  • happy to navigate through competing demands with a natural sense of priorities and how to get things done on time and to a high standard
  • confident, tactful communicator and can tailor your approach to work better with people from different cultures and industries
  • emotional intelligence to deliver ‘No’ in the right way, often considering what’s best long-term
  • experience managing projects or places using CRM/ERP, bookkeeping/accountancy and order/e-commerce systems
  • understanding of distribution, materials, architecture/design or construction a plus
