John McAslan + Partners is hiring an administrative assistant to join its team in London.
John McAslan + Partners is an international architectural practice working in a variety of sectors from their UK and Sydney offices. This is an opportunity for you to develop a career in business support, take on additional responsibilities and grow with the company. You will provide direct support to the managing director and the senior management team.
The role:
- providing on-site PA support to the senior management team
- assisting in diary management and meeting coordination
- assisting with booking staff travel
- assisting the management of a number of email inboxes
- providing basic cover when the chairman’s EA is on leave
- helping to manage the practice’s contacts database
- various PR and marketing tasks
- assistance with new business development project research
- assistance with general office administrative tasks
- booking of couriers and helping with post
- organising refreshments for visitors, including the occasional breakfast and lunch for meetings when required in the London office
Minimum qualifications and skills:
- minimum 5 in GCSE (Grade 5 and above) with Maths and English
- proficiency in Microsoft Office
- other relevant qualifications may be an advantage
About you
You will have an excellent standard of oral and written English. You will need to have a great eye for detail and a team-working attitude. Previous experience working within a design, creative or construction practice would be preferred but is not essential, though a minimum of three years’ experience in a professional organisation is a requirement.
Proficiency in MS Office is a necessity, and basic knowledge of Adobe packages such as InDesign would be advantageous.
In addition, you will be:
- a strong team player with the confidence to work independently and with senior managers
- able to develop and build good relationships with colleagues, clients, consultants and suppliers
- attentive to detail and committed to maintaining a high level of accuracy in all your work
- friendly and approachable, with a willingness to assist wherever needed
- a good timekeeper and motivated self-starter, able to cope with the pressure of deadlines
- discreet and aware of the requirements for confidentiality
