Elicyon is seeking a procurement manager to join its team in London.

Overview

The role of the procurement manager is to manage the delivery of FF&E for specific projects within the studio from tender stage through to completion. Strong communication and collaboration with the lead designer is key to ensure all pieces are manufactured to match the design intent. The Procurement Manager is to closely monitor the production process to ensure that the pieces meet Elicyon’s exacting standard as well as all contractual commitments, i.e. design output, programme and budget.

The procurement manager must be strategically minded and a good negotiator, creating additional value for Elicyon. The procurement manager will establish best practice procurement policies across the business. These policies will ensure high quality client delivery whilst maintaining adherence to all the business’s AML, regulatory and compliance obligations.

The role requires a high level of problem solving and initiative, tackling any issues encountered along the way. Finding dynamic and innovative solutions to deliver excellent quality in the best time frames.

The procurement manager is to proactively communicate with Elicyon’s finance team regarding payments and reconciliations etc.

Responsibilities:

  • the procurement manager’s overall responsibility is to ensure that projects are delivered on time and to budget
  • experience in team time management is essential to ensure you are always project managing the delivery of the project install. You will understand when a task is better delegated to a design assistant, or to yourself or alternatively if training is required
  • overseeing the full process of the FF&E tender. Suggesting suitable suppliers/ manufacturers to tender to. Issuing packages for pricing and compiling tender analysis documents which are to be reviewed alongside the lead-designer and I or director to decide how to allocate the pieces
  • formalising standard commercial terms with new suppliers. In cases where the client contract requests specific clauses, formalise specific terms with suppliers, existing and new
  • taking ownership of the programme and deadline management of materials and drawings, directing the design team, at all levels from associate to design assistant, accordingly
  • liaise with the finance manager on fund request timelines and monitoring it on a weekly basis to ensure timely receipt of funds from clients
  • schedule out a delivery plan for all projects. For international projects, establish a transport and export/import strategy. Secure relevant quotations and documentation
  • manage the appointment of suppliers. Check quotations and invoices before raising PO’s. Pass on all the relevant information to the finance manager for payment
  • manage all supplier communication and monitor the development against the agreed milestones. Track supplier shop drawing sign-off and sample approval process. Resolve any supplier/ manufacturing issues that arises
  • responsible for purchasing procedures including monitoring project budgets – actual vs. agreed to ensure no overspend and managing credit cards and shopping trips
  • approve team FF&E expenses
  • create a delivery and installation schedule for FF&E items and establish both internal and external resource requirements for the final stages of projects
  • plan and carry out factory visits to monitor progress of bespoke FF&E. Issue relevant factory check lists to the design team for final sign off
  • ensure completed bespoke FF&E items are signed off, by the design team, prior to being delivered
  • all FF&E items are to be inspected on receipt to site I consolidation center. Manage any FF&E snags that arise
  • provide necessary information for final reconciliation of FF&E funds/client account by finance manager
  • provide weekly/monthly progress reports to the directors

To have the strong work ethic and commitment required to deliver outstanding luxury interior design projects to the highest quality within a dynamic environment.

To have a strong understanding of luxury and ensure that everything from design packs, site installations, FF&E items are produced to the highest standard.

Ensuring that procurement processes are efficient and adhered to. Making recommendations for process improvements for procurement.

To identify risk factors and catch problems early and to have a solutions-based approach.

Teamwork

Working closely with the design team on complex issues, and progress on projects.

Supplier relationships

To have a large network of relevant suppliers & manufacturers, and proactively seek out new suppliers. Manage suppliers to ensure the highest standard of workmanship always.

Software skills

To be fluent in Esti-PC and Microsoft Office Suite. AutoCAD and InDesign skills would be useful but aren’t essential.

Qualifications and experience

A bachelor’s degree or equivalent in interior design or interior architecture would be preferred. A minimum of two years’ experience as a procurement manager, within a luxury interior design firm in the UK.
