Role overview
The finance assistant at De Rosee Sa plays a key role in supporting the financial health, accuracy, and efficiency of the studio. Reporting to the chief finance officer and studio manager, and working closely with the wider operations and project teams, this role is responsible for maintaining accurate financial records, supporting forecasting processes, managing billing cycles, and ensuring timely payment and collection activities.
The ideal candidate will be highly organised, detail-oriented, and numerically confident, with the ability to work proactively in a creative studio environment. You will support robust financial processes, contribute to the smooth running of the studio, and provide a strong foundation for effective decision-making through accurate and timely financial information.
Key responsibilities
Financial administration and transaction processing:
- process supplier invoices, staff expenses, and credit card statements accurately and efficiently
- prepare and execute regular payment runs in accordance with company policies
- maintain organised financial records and documentation, ensuring audit readiness
- support month-end and year-end processes through accurate data entry and timely task completion
Overhead and revenue forecasting:
- prepare and maintain accurate overhead forecasts to support cost control and strategic planning
- collaborate with project teams to forecast revenue, ensuring alignment with project progress and pipeline visibility
- assist with preparing financial schedules that support senior leadership decision-making
Credit control and cash collection:
- manage credit control processes and maintain regular contact with clients to ensure timely receipt of payments
- monitor aged debtors and escalate issues proactively where required
- maintain positive relationships with clients and internal stakeholders throughout the billing and collection cycle
Monthly accounts production and reconciliation:
- assist in the timely production of monthly management accounts, ensuring accuracy of recorded financial activity
- reconcile balance sheet accounts each month, promptly resolving discrepancies
- support preparation of financial reports for the chief finance officer and studio manager
Cash flow forecasting and financial monitoring:
- prepare and monitor cash flow forecasts, ensuring visibility of upcoming commitments and receivables
- track key financial metrics across the business, supporting ongoing performance monitoring
- highlight any emerging financial risks or anomalies to the chief finance officer
Billing process oversight:
- oversee the billing cycle, ensuring all project fees and service charges are invoiced accurately and promptly
- work with project leads to review billable stages and maintain accurate invoicing schedules
- ensure all revenue is recorded correctly and in line with project progress
Compliance, controls and record integrity:
- maintain the integrity of accounting records, ensuring adherence to internal controls and best practices
- support external accountants with required documentation and reconciliations
- ensure compliance with company financial procedures and support continual process improvement
Insurance and administrative support:
- assist with the annual insurance renewal process, gathering required documentation and liaising with brokers
- support the studio manager and chief finance officer with ad-hoc administrative and financial tasks as necessary
Qualifications and experience
Essential skills and attributes:
- two to four years’ of experience in a finance or accounting support role
- strong numerical skills and attention to detail
- excellent organisation and time-management abilities
- strong communication skills, with confidence liaising with clients and internal teams
- ability to manage multiple deadlines with accuracy and reliability
- proactive, collaborative, and comfortable working in a small, creative team environment
Technical expertise:
- proficiency with accounting software (e.g., Xero or similar)
- strong Excel/Google Sheets skills, including formulas and data analysis
- understanding of basic accounting principles and bookkeeping processes
- experience with credit control and payment processing advantageous
Education and credentials:
- a degree or qualification in Finance, Accounting, Business, or a related field preferred
- working towards AAT or similar qualification is an advantage
