Admin assistant
at David Chipperfield Architects
David Chipperfield Architects is looking for an admin assistant to work its practice based on the Strand in London.
This role will involve supporting David Chipperfield Architects’ EA and assisting in the administration of David’s wider commitments and special projects.
Duties will include…
Travel:
- putting together complex international travel itineraries including visas, local transport, taxis & hotels
- researching best flight connections/costs (getting several quotes and suggesting possible itineraries)
- online check-in for flights, third party authorisation forms for hotels etc.
- updating diaries in Outlook with flight details/travel information
- ensuring all necessary documentation and background information is available for meetings
- overview of airline loyalty programmes and statements
- booking taxis
General administration:
- receiving incoming post/correspondence/invitations, log correspondence and file
- gathering background information on invitations for review
- updating contacts on database and Outlook
- filing and archiving e-mails
- reconciling credit card statements and cash receipts
- answering the telephone and making sure important messages are followed up on
- booking personal appointments (eg. dentist)
- organisation of summer schedule in Spain
- organisation of social events in London/Berlin with guest lists, replies, catering, etc.
- ad-hoc research
Skills and competencies:
- intermediate MS Office essential (including Excel and PowerPoint)
- proficiency in administrative and secretarial duties
- professional and confident telephone manner
- fluent written and spoken English, Spanish or German would be an advantage
