Studio/marketing assistant

HBA International is seeking a studio and marketing assistant to join its firm in London.
HBA International is a dynamic interior design company, specialising in high-end hospitality interiors. With over 20 offices around the world, our inspiring 40 strong west London studio (where you will be based) offers a bespoke service creating beautiful, well planned interiors for luxury hotels, restaurants and spas.
Position
The studio and marketing assistant will support the office manager and business development manager providing administrative support for the studio and new business development whilst also assisting in special projects/initiatives as required.
Key responsibilities include:
- assist with the accurate execution of fee proposals, contracts and other NBD material, communicate and follow up with client under manager’s instruction
- assist in the organisation, preparation and distribution of marketing materials in a timely manner
- responsible for travel and expense reports, management of meetings, calendars and travel arrangements
- coordinate and develop marketing presentations, including downloading, transfer, manipulation and duplication of materials
- prepare and coordinate correspondence and marketing reports
- assist with billing and submitting of invoices
- update contact lists of clients and prospective clients through thorough research
- assist with studio coordination including administrative tasks to support the office manager
Required experience, skills and abilities:
- minimum of two to three years’ marketing/administrative experience at an advanced level
- advanced knowledge of PowerPoint, Word, Excel, Outlook, Photoshop
- excellent problem-solving, organisational, communication and client service skills
- ability to multi-task, take initiative and work with minimal supervision in a fast paced high-pressure environment
- professional interpersonal and telephone skills
- strong ability to organise and prioritise workload to meet multiple deadlines
This is a full-time position within the HBA London studio and office hours are 9am – 6.30pm Monday to Thursday and 9am – 1pm on Fridays.
