Operations manager
at UXUS
FutureBrand UXUS is looking for an operations manager to join its practice in Amsterdam, Netherlands.
Our operations manager oversees all aspects of operations within FutureBrand UXUS and is responsible for maintaining a smooth flow of work between departments, ensuring our agency stays on schedule with regard to workflow, as well as exceeding our financial and operational goals. These activities will require a professional and pro-active approach to ultimately ensure the success of all creative projects and team functions. This function will most importantly contribute to a healthy and creative working environment.
Job responsibilities:
- oversee our project management team, ensuring projects are executed efficiently and at the highest quality
- first point of contact for all creative resourcing and holiday requests
- manage weekly management meetings to align all departments on timelines and the execution of all phases of creative development
- develop and administer a sound organisational plan by ensuring adequate resources are in place and workflow is prioritised, optimised and structured to facilitate growth expectations and avoid project slippage
- work collaboratively with our studio manager and operations assistant to ensure in-house operations runs efficiently and procedures from the wider team are followed
- work closely with HR and finance to proactively manage resource requirements
- maintain project plans, workflows, timelines and project tracking reports
- maintain operations by developing and administering operational policies, programmes and procedures in accordance with general policies (US GAAP and SOX Compliance)
- review and supply data, as well as content, for fee proposals and RFPs
- support better management reporting, information flow, business process and organisational planning
- play a significant role in long-term planning
- ensure the experience of both internal colleagues and external clients is seamless
- understand the value of the smallest details and foster company culture
Financial:
- in collaboration with senior management and business development, determine how the company monthly and yearly targets are met
- support financial department, when necessary, in reporting project plans and team efficiencies
Required skills and aptitudes:
- experience working in an operational management role, preferably within an international agency environment
- minimum of five years’ operational management experience
- solid business acumen with the ability to anticipate and plan for business needs in advance
- exceptional organisational skills and follow-through; capable of exercising sound judgement in prioritising and executing projects and tasks
- ability to operate effectively in a fast-paced, ever-changing environment is essential
- detail and solution orientated with the ability to problem-solve and see a task through to completion/resolution
- ability to manage multiple calendars, anticipating bottlenecks, clashes and potential red flags
- excellent communicator with the ability to bridge lines of communication at all levels
- comfortable in managing difficult conversations with the teams
- flexible, articulate, assertive, self-motivated and enthusiastic
- experienced in working with Microsoft Outlook, Excel and Google Calendar
- fluent in English, verbal and written required; additional language skills a plus
