Receptionist and communications assistant

PDP London is looking for a receptionist and communications assistant to join its London practice. 

We are an award winning architectural practice, looking for an energetic and organised assistant to provide a first class receptionist service to our clients and guests, and to support the communications team.

This role would be ideal for someone looking to enter into a career in communications (on the business development or marketing side) within a creative environment.

You must have an enthusiastic personality, a memory for faces and names and be well organised in order to make a success of the role.

The reception service side of the role includes:

  • providing a warm, friendly and professional welcome to all clients and guests, in person and on the telephone
  • maintaining a neat and tidy reception area
  • managing the booking of meeting rooms and any associated catering requirements
  • updating the intranet page regularly with staff movements, news and useful information
  • coordinating the booking of couriers and taxis and arrange for reprographic collections
  • to arrange the distribution of the morning post and any deliveries as they arrive during the day
  • to be responsible for ordering stationery and other supplies as required for the practice’
  • tracking petty cash, issuing/record keeping of company Oyster cards,bike keys and PPE

The communications assistant aspect of the role includes:

  • research into key sectors identified by the business development group.
  • inputting data to sharepoint
  • identifying target events and publications for creating marketing content, or speakers in order to create networking opportunities and market our brand
  • booking tickets and travel
  • assisting with the organisation of internal communications
  • helping out as part of the wider administrative team as and when required

Required experience and skills:

  • a friendly and personable approach, good at building rapport very quickly with people
  • a good administrator with a natural attention to detail and ability to check and correct your own and others work accurately
  • good at following things through to completion, with consistency, even for mundane tasks
  • a strong work ethic, which is demonstrated in your personal approach and also communicated to others
  • an understanding and demonstrating the values of a professional service firm
  • able to understand and to work to deadlines
  • to be able to work on your own initiative
  • able to multi-task and remain calm and well organised
  • a good team worker who will willingly and pro-actively help others when needed
