Matteo Thun & Partners is seeking a senior architectural practice manager to join its team in Milan.

Location: Milano (Italy) and Munich (Germany)
Start date: as soon as possible
Schedule: 9am – 7pm, Monday to Friday (a degree of flexibility may be required)

Description of responsibilities

We are looking for a senior architectural practice manager to join our team. The position will report to the founding architect Matteo Thun and the CEO Boris Ulrich, respectively based in the main office in Milan and the new branch in Munich.

The ideal candidate will have experience in the day to day running of an architectural office – including interior, styling and communication. The candidate will also demonstrate excellent organisational and analytical skills as well as good communication skills, with the ability to work collaboratively as well as overseeing several projects independently. The initiative, ability to prioritise and multitask autonomously are key requirements for the position, which involves successfully oversee the practice’s projects. The candidate will supervise the creative team (consisting of 50 plus creatives) in Milan and the Munich team (consisting of ten plus creatives).

Experience in management and leadership skills are of primary importance. The candidate will have a higher education degree in architecture, thorough knowledge and several years experience at senior level in an architectural practice, demonstrate creative flair as well as strong practice management skills.

Fluent English and German are required, Italian would be a welcome plus.

The successful applicant will be requested to share his/her time between the Milan and the Munich office, so willingness to travel is essential.

General:

  • coordinating the heads of departments (architecture, interior design, style and visualisation/graphic design)
  • manage and monitor project programmes and resourcing
  • ensure the scheduling of project reviews, client meetings and adherence to deadlines
  • client liaison on behalf of the head of departments, Matteo Thun and the CEO
  • providing independent assessments of the team structures and requirements for the successful completion of projects
  • reporting to Matteo Thun on the project’s progress
  • liaising with the CEO on variations of programme and scope
  • discretion in handling confidential information

Client relationship:

  • following projects from inception to completion acting as the practice’s point of reference for the clients
  • assessing feasibility of clients requirements, requests
  • report client position in internal meetings with the team leaders
  • keep clients informed on matters of programme, updating and definition of timelines, priorities and costs, thereby managing expectations
  • preparing and leading the key client presentations
  • signing off handover letters throughout the different project phases

Staff relationship:

  • be a point of reference for the practice designers
  • guiding and advising individual staff members in inter-team communication
  • assessing individual performance

Project management:

  • manage the resourcing and programme on all projects, including external consultants requirements
  • manage internal time schedule
  • weekly progress checks on all projects
  • act as a practice point of reference both internally and externally
  • bridging communication and information flow between the Milan and Munich offices

Knowledge of the following is required:

  • Microsoft Office

  • ArchiCAD
  • architecture office experience mandatory
  • project management software
