Office manager

Pattern Textiles is seeking a proactive, organised office manager to join its print design studio in east London.
Our designers create artwork for fashion brands worldwide. We are looking for an individual who is polite and efficient and is keen to work closely alongside our dedicated and enthusiastic team (20 employees). We are looking for someone who can start ASAP ideally, to allow for a handover period.
Main duties:
- monthly reconciliation of bank, credit cards and petty cash accounts
- process all incoming and outgoing invoices; ensuring all income and expenditure is accounted for on the company’s accounts system and all supporting documents are filed accordingly
- coordinate commission for design and sales teams, and subsequently process monthly payroll
- monitor debtors list and follow up on any outstanding invoices. Ensure all invoices are submitted correctly to clients’ accounts departments in order avoid any payment delays
- ensure all sales reports from agent representatives collate with sales team’s records
- coordinate and distribute monthly individual sales sheets to designers
- HMRC liaison; ensure timely payment of PAYE, NI and corporation tax, submit quarterly VAT returns
- HR and Health and Safety admin; mange holiday and sick leave databases, support employees with any issues, ensure H&S procedures are adhered to
- ordering supplies for the studio
- liaise with pattern’s foreign exchange brokers for all international payments (wire and cheque processing), crediting each payment to the correlating invoice
- budget and allocate money to sales team for each trip, ensuring all expenses are recorded to accounts system
- organising shipments to send to Agents overseas
- contacting maintenance for any building issues within the studio
Skills:
- experience with book-keeping
- self-motivated and independent
- numerical
- organised
- excellent knowledge of Microsoft Excel and Word
- happy to assist in all aspects of the business
- experience with Accounting software would be beneficial
- interest in creative industry
Hours of work are Monday to Friday, 9.30am to 6pm.
