Showroom coordinator

Vitra is looking for a showroom coordinator to join its team in London.
The position
Vitra is seeking a showroom coordinator for their UK subsidiary to be based in the central London offices. The role will work closely with all teams, external and internal service providers to create a smooth running office space catering to all visitor and citizen needs. This role works with the whole of the UK team and its respective clients and visitors, and plays a key role in the daily experience and company culture for visitors and staff alike.
Your responsibilities:
- to ensure the building is in good working order and operates smoothly. You will be responsible for all building, facilities, supplies and service, including repairs and maintenance (including ongoing contract teams) for the showroom and following the correct tender, approvals and implementation process and budget control
- responsible for maintaining a perfect brand image and experience at the showroom for all guests and citizens. This includes front-of-house hosting and event assistance, facilities and building maintenance ( including service and supply ordering) to ensure impeccable service and display
- responsible for answering phone calls, managing the general email address and the reception queue on SalesForce
- responsible for implementing, maintaining and documenting health and safety protocols as instructed. This includes keeping visitor logs, organising service logs and works orders, and organising routine inspections for fire safety, hazards, housekeeping and first aid boxes. This also includes ensuring all reports and servicing documentation is up to date, organised well and filed properly. Additionally the candidate needs to be willing to be a first aider and a fire marshal
- responsible for sample management- responsible for sending out samples to customers by request, and for organising and maintaining the sample library, showroom hangers and stock. To ensure all samples are stored correctly, collections are up to date, and to organise stock checks and replenishment orders fortnightly
- managing the showroom diary – to be aware of events, client visits, bookable spaces, works schedules, dry builds for mock ups, and to communicate updates internally when required
- maintaining storage areas – to ensure all back office spaces are well maintained, organised, and inspected regularly. To oversee deliveries and ensure all goods and post are collected on time, to maintain good order
Your qualifications:
- you should have a background in office, building, facilities or studio management, and prove excellent organisational, hosting/front-of-house, communication and administration skills
- ideally you would have a good background of hosting professional clients as well as organising internal staff and contractors
- it is a hands-on, fast paced environment and you should want to create and nurture a community, that brings together all teams to be able to give the best experience of the new flagship London showroom as possible and be passionate about what you do
- you will be an excellent and pro-active member of the team, with a positive and social outlook, that works well independently and as a team
- the role is very focused around people and visitors, with a high focus on task management and communication too. It would suit a candidate with approachable people and team skills, highly diligent organisation and a proactive, positive and communicative work style
- you should be able to work under pressure and be able to distribute and prioritise tasks and situations appropriately
- good customer services skills and phone manner are required

Work Hours: Monday- Thursday, 8.30am-5:30pm, Friday, 8.30am-5pm
Location: London showroom (Shoreditch), five days a week. Working from home or flexible working is not offered
