Useful Simple Trust is seeking a bid coordinator and documentation support to join its team in London.
Location: London (hybrid working: two to three days in the office)
Salary: £28K – £30K p/a (DOE)
Hours: full-time (37.5h p/w)

Who we are
Role overview:
We are looking for an experienced bid coordinator and presentation support person to work on a variety of complex bid proposals. Working closely with the business development team and wider trust, you will play a key role in winning new business. Together with the bid manager, you will be the main point of contact for all teams contributing to proposals and ensure we follow rigorous processes to deliver high-quality bids; from bid
kick-off meetings, contributing to strategies and collating appropriate information, to assisting in writing proposals and ensuring they are produced and delivered on time.
You will be responsible for:
- coordinating the end-to-end bid process, including PQQs, ITTs, RFPs, frameworks and supplier registration forms
- follow up on bid submissions, making sure that feedback is received
- managing a central inbox for bid replies and new bid opportunities
- liaise with collaborators and consultants in multidisciplinary teams
- assemble bid tender packages, proposals, and presentations with information from all relevant internal and external stakeholders
- prepare documentation for bids and presentations, using InDesign, Photoshop, Word, Excel, PowerPoint, SharePoint and other required software
- edit, update, and create CVs, project and practice profiles
- produce quality bid submissions, reviewing information that is provided for bids to ensure consistency and accuracy, proofing and editing text
- attending and minuting relevant meetings as required
Key requirements:
- excellent working knowledge of Adobe Creative Suite, including InDesign, Photoshop and Illustrator
- proficiency in the MS Suite, including Outlook, PowerPoint, Excel and Word
- ability to work flexibly with multiple priorities while maintaining a detail-focused approach
- previous experience as a bid coordinator
- experience working on complex bids and frameworks
- experience completing PQQs, RFPs, and ITTs
- exposure and interest in sustainability – this is a core part of our business
- high level of carbon literacy or willing to become certified
- strong time management and organisational skills
- excellent written and verbal communication skills, with exceptional attention to detail
Desirable experience:
• degree in communications, architecture, marketing, business or equivalent experience
• graphic design skills
• similar role within engineering, architecture or the built environment sectors
• experience using portals such as Due North, Pro-contract and Intend
• ability to engage with and present to clients, staff and teams
