Knox Bhavan Architects is seeking a studio manager to join its small team in Peckham, London.

Knox Bhavan is a multi-award-winning architectural practice looking for a studio manager to join our team of eight architects and architectural assistants based in Peckham. We are open to considering candidates who can work part-time (four days per week or five shorter days – salary will be pro-rata).

The studio manager will be responsible for ensuring the smooth running of the practice. This is a varied role which would suit a proactive, highly organised individual with excellent administrative and communication skills and good attention to detail.

Good numeracy skills are required as project invoicing is a key part of the role. Previous experience in a similar role is advantageous. Knowledge of the architecture profession and experience using CMAP is beneficial. Good general IT skills are necessary.

Typical responsibilities

General studio management:

  • first point of contact for incoming enquiries
  • administer print contracts and maintain stationary levels
  • liaise with external IT and technical support team
  • manage filing and archiving systems (in-house and digitally)
  • support the wider team
  • help managing the diary and arrange meetings
  • assist the partners with occasional travel bookings
  • arrange CPDs and other training and maintain RIBA log

Finance and project administration:

  • run and minute the weekly all-staff project progress meeting
  • manage incoming job enquiries
  • assist with project time and budget tracking on CMAP software
  • assist the partners with job resourcing
  • assist the partners with fee agreements
  • invoice project fees and expenses
  • bookkeeping to assist the accountant (VAT, PAYE, pensions etc)
  • negotiate insurance renewals including professional indemnity
  • setting up documents for competitions and job getting

HR administration:

  • assist with recruitment and drafting contracts
  • liaise with outside HR advisors to ensure compliance with employment law
  • onboard new staff and setting up on office systems
  • assist the partners with bi-annual performance reviews
  • update policy handbooks
  • manage benefits
  • arrange weekly shop for staff lunches
  • ensure compliance with health and safety requirements

Public relations:

  • manage requests and liaise with outside PR
  • filing photography of completed jobs
  • undertake basic website updates and liaise with external web designers
  • social media updates in collaboration with the rest of the team
  • occasional coordination of special events and talks at the studio

Salary dependent on experience.

20 days holiday plus bank holidays, plus closure between Christmas and New Year. Pension is in line with the Government Auto Enrolment scheme. We provide free healthy lunches in the office daily and have an Employee Assistance Programme and CycleScheme.
