Practice manager

Fathom Architects is seeking a practice manager to join its team in London.
This is a dynamic role for a motivated person with an active role overseeing the day-to-day business operations in the Fathom studio with positive energy. The practice manager is responsible for maintaining an organised, creative working environment with an eye on both physical and mental welfare of all colleagues so everyone can thrive.

About you
Role and responsibilities
To oversee the below with the support of our part-time studio coordinator
Design management – practice:
- responsible for studio operations including Health & Safety matters, policies and procedures
- collaborate with the senior management team to implement long-term strategic business objectives and ensure compliance with policies and relevant legislation
- organise quarterly management meeting agenda, presentations, minutes and actions
- oversee insurance renewals
- manage outsourcing/sub-consultant contracts
Design management – projects:
- oversee CMAP updates (Project management software) alongside the project leads to keep fees, invoicing, resourcing up to date and report on performance on projects
- set up projects in CMAP
People:
- oversee HR related matters (liaising with our external consultant), maintaining a supportive and collaborative studio culture that prioritises staff welfare
- manage policies, employment contracts, holidays, TOIL, and office calendars
- coordinate practice events (e.g. AGM, team socials, summer outing, Christmas party)
Premises
Oversee the maintenance of studio premises, equipment and supplies including liaising with landlords
Finance:
- with directors and our financial consultant manage day-to-day finances including budgets, invoicing, payments, payroll and expenses
- assist our accountant and financial consultant in production of annual accounts, daily financial management and Coordinate R&D Claims
IT:
- oversee IT strategy and collaborate with IT consultants to ensure IT provision is fit for purpose
Skills and qualification:
- a positive and engaging attitude
- excellent organisational skills
- strong communication skills both written and verbal
- strong attention to detail
- in depth knowledge of Microsoft Outlook, Excel, Teams etc.
- good knowledge of financial and project management software eg. Xero/CMAP
- minimum two plus years’ in a similar role
Full time role in the studio (part-time role may be accommodated).
