Kelly Behun Studio is hiring an assistant/administrative assistant to join its team in Manhattan, New York.
Position overview
We are seeking a highly organized, detail-oriented assistant to support our studio director in daily operations, project coordination, and administrative management. This role is ideal for someone who thrives in a fast-paced creative environment and enjoys balancing logistics with aesthetics.
The assistant will play a key role in keeping projects organized, timelines on track, and communication seamless between studio director and design team.
Key responsibilities
Administrative support:
- manage calendars, schedule meetings, and coordinate site visits
- organize digital files, project folders, and shared drives
- prepare meeting agendas, take notes, and distribute follow-ups
- track/check budgets invoices, purchase orders, and vendor payments
- assist with bookkeeping coordination and expense tracking
Project coordination:
- support designers with sourcing materials, finishes, and furnishings
- maintain FF&E schedules and specification sheets as needed
- track lead times, deliveries, and installations
- coordinate with vendors, workrooms, and contractors
- prepare client presentation materials (mood boards, binders, samples)
Client and vendor communication:
- act as point of contact for scheduling and logistics
- follow up on orders, quotes, and revisions (as needed)
- ensure clear communication between design team and Studio Director
Studio operations:
- maintain studio library and sample organization (as needed)
- assist with photoshoots and styling days (as needed)
- help streamline systems and improve internal processes
Qualifications:
- two to six years’ experience in administrative support, design studio, or related field
- strong organizational and time-management skills
- high attention to detail
- proficiency in Google Workspace, Microsoft Office, and project management tools
- experience with design software (AutoCAD, SketchUp, Studio Designer, etc.) is a plus
- professional, clear written and verbal communication
