Accounts assistant

WilkinsonEyre is seeking an accounts assistant to become part of its London-based team.

WilkinsonEyre is an award-winning, international practice based in London EC1. The practice has designed many iconic projects in the UK and around the world and we are seeking an experienced, full time accounts assistant to take care of the purchase ledger, petty cash, employee expenses and banking for our London headquarters as well as assisting with our international subsidiaries.

Key responsibilities

Purchase ledger:

  • process all purchase invoices, gaining approval from department heads as required
  • dealing with queries on phone and email
  • reconciling supplier statements

Staff benefits and expenses:

  • first contact for staff using the company Deltek Vision system
  • process staff expense claims, checking receipts and VAT entries
  • assisting in mileage claims making sure that records are kept to satisfy HMRC
  • manage staff credit card limits and usage ensuring good practice and adherence to company policy
  • arrange and assemble receipts for use in customer recharges
  • assist with the monthly payroll routine using the company’s Sage 50 Payroll system (250 employees) to produce payslips and answer queries
  • advise staff members on Cyclescheme, gym deductions and other benefits

Banking and cash:

  • set up BACS and priority payments on the company HSBC.net system
  • manage petty cash float across all currencies checking all records and receipts
  • arrange for foreign currency if and when required
  • log all outgoing cash (multi-currency) on the Deltek Vision system and raise and resolve queries when necessary
  • bank reconciliation

Other:

  • database management – setting up new employees and suppliers on the company’s various systems
  • accurately recording promotions, bonuses and salary reviews
  • regular and ad hoc management accounting and analysis tasks as required
  • participate in the annual audit answering queries as required
  • assist in job cost reporting when required
  • look after hard copy files and archiving in an orderly, understandable way
  • flexibility to cover all aspects of the finance team’s work and cover during annual leave – sales ledger, timesheets and project setup

Skills:

  • proficient in MS Excel
  • ability to analyse financial data and translate to non-finance individuals
  • an understanding of double entry bookkeeping and VAT
  • attention to detail
  • good written and spoken English
  • trustworthy/self-disciplined/reliable
  • an interest in the architectural/design industry
  • experience of Sage Payroll and/or Deltek Vision an advantage
