BuckleyGrayYeoman is looking for an experienced personal assistant to join its firm in Shoreditch, London.

About the role

You will provide high-level professional, administrative, organisational and logistical support to our joint-CEOs.

You will develop a familiarity with construction stages, to enable you to be aware of the teams’ projects status and milestones.

You will be expected to be able to undertake the following, but with initiative and enthusiasm you will have the opportunity to develop this role and take on other responsibilities.

  • proactive and complex diary management
  • manage the Joint-CEOs’ busy events calendar – sourcing venues/drafting and issuing invitations/proposing guest lists/travel logistics/booking hotels and travel/creating brochure information and table cards, etc
  • coordination of travel itineraries in the UK and abroad
  • arranging corporate away days and client trips in both the UK and abroad
  • creating programmes, itineraries and agendas for client, internal and external meetings
  • arranging and booking breakfasts/lunches/dinners
  • organisation of off-site management board meetings
  • inbox management (filtering and responding to emails/redirecting messages)
  • answering calls and relaying messages, often dealing with queries on behalf of the joint-CEOs
  • liaise with clients on behalf of the joint-CEOs
  • creating new business presentations using InDesign for meetings with potential clients
  • creating presentations using InDesign for conferences/panel discussions etc.
  • draft, type and issue correspondence on behalf of joint-CEOs
  • filing correspondence
  • assist with legal documentation
  • minute taking
  • processing expenses
  • maintain and update the joint-CEOs’ contacts database
  • setting up conference calls
  • ad-hoc PA duties, including PA support for directors as and when needed

  • ability to handle confidential and sensitive information with discretion

  • confident dealing with people at all levels
  • proficient in Mac, MS Office, InDesign and Photoshop
  • typing: 40 wpm
