Administrative assistant

Caruso St John Architects is seeking an administrative assistant to join its team in London.
Caruso St John Architects is a medium-sized architectural practice with offices in London and Zurich. The practice works in the UK and Europe and is known for its cultural and other larger projects, and its collaborations with artists.
We are seeking a part-time administrative assistant to support the office manager and ensure the smooth running of our office. The role would suit someone who wishes to work a 32-hour week, split either over four or five days.
Key duties:
Reception duties:
- answer phones, filter calls, and take messages
- accept deliveries, distribute incoming post and parcels, and liaise with
couriers - book travel and accommodation and handle all associated admin
- order groceries and stationery supplies, and maintain stocks of stationery
and consumables
Housekeeping:
- keep the main office, back-of-house areas, and meeting rooms tidy
- keep meeting rooms ready for use during the day, and tidy up after
meetings - arrange regular clear-outs of samples
- be a point of contact for tradespeople, photocopier engineers, etc.
Office admin:
- update and maintain admin databases
- scan, re-name, and file incoming invoices in preparation for the bookkeeper
- monitor incoming queries to our ‘info’ email account and forward on
relevant messages - assist with archiving projects
- some limited PA support for the practice partners mostly related to travel
arrangements - support the office manager with ad hoc tasks
Required skills and qualities:

- sound judgement in practical matters
- attention to detail
- good communication skills
- pride in a job well done
Desirable:
- European languages and some previous office experience welcome
