TLA Studio is hiring an office manager/PA to join its studio in London
Office manager/PA needed for vibrant, high-end architecture and interior design practice.
The practice
TLA Studio is a busy multidisciplinary design practice with an exciting portfolio of private, high-end residential projects located in London, the UK and abroad.
We are seeking a full-time PA/office manager to join our award-winning studio in Camberwell as soon as possible.
The role
The office manager will support the two directors of the company, manage the daily operations of the studio and provide assistance to the rest of the team. The work varies from day to day so prioritisation and communication are imperative. Therefore, we are looking for a professional and proactive all-rounder who can manage the studio with authority and be able to confidently make decisions on behalf of the business.
The main duties include, but are not limited to:
- PA support to two directors – managing complex diaries (professional and personal – including family activities) completing timesheets on behalf of one of the directors, travel arrangements, managing the administration of two vehicles and project tasks
- minutes – taking and typing up meeting minutes
- HR – liaising with the outsourced HR representative to create new staff contracts and make any amendments to existing contracts, timesheets, assisting with recruitment procedures, managing staff inductions and staff leave including sick days and holidays
- office management – screening phone calls, updating the database, ordering supplies, archiving, filing, dealing with daily post and being the first point of contact for all suppliers
- financial – ensuring monthly expenses are completed at the start of every month, raising invoices and liaising with outsourced accountant
- facilities management – maintaining plotter and printers ensuring all are stocked with paper and cartridges, working with outsourced IT support to ensure all computers and software are maintained, ensure the premises is a safe working environment for all staff
- social media – updating the studio Twitter and Instagram pages regularly as well as updating the website and platforms such as Houzz
It’s a big role with lots of scope covering all aspects of business operations so you will need proven PA and office management support ideally in architecture, construction, design or similar.
Core competencies must include excellent communication skills and telephone manner, previous office H&S and HR experience, as well as advanced IT knowledge including proficiency in Microsoft Office, Adobe and an understanding of AutoCAD would be beneficial.
Salary dependent on experience with 20 days holiday plus bank holidays.
Office hours are 9am – 6pm.
