Catherine Wilman Interiors is hiring an office administrator to join its team in London.

Are you highly organised and have at least two years of experience as an office administrator? Do you have an interest in interior design? If so, this could be your ideal job.

Catherine Wilman Interiors is seeking an office administrator to support our friendly, talented team in Notting Hill, West London. Duties will range from general office support to helping with procurement for our high-end residential projects. It’s a fast-paced, creative environment, so you will need to be good at multi-tasking. This will be a full-time role, based in our studio Monday to Friday. We are open to flexible working hours.

You do not need to have previously worked in an interior design studio but an interest in interior design would be desirable.

Responsibilities:

  • ensure the smooth day-to-day running of the studio
  • maintain office calendar and the creative director’s diary, including booking staff and client meetings and video conference calls
  • assisting the FF&E team in procurement – ordering soft furnishing/furniture for our projects and ensuring goods arrive on time
  • occasional PA duties for the creative director
  • answer the phone and direct any calls
  • sit in on the weekly team meetings and update the work programme
  • assisting with new business enquiries
  • invoicing admin
  • managing timekeeping software for the team
  • IT troubleshooting/liaison with IT companies to fix computer issues
  • overseeing IT upgrades to ensure optimal running of systems and software
  • arrange staff social events and celebrations
  • assisting with recruitment, contracts, new employment legislation
  • ensuring the company’s health and safety standards are met (including attending the company’s first aid training and fire marshal training)
  • liaising with building managers to resolve any facilities issues
  • delivering/collecting post and goods as required
  • managing office supplies and contracts: cleaning, utilities, printers, lighting, plumbing, air conditioning
  • induction and setup of new starters
  • occasionally assisting with project site installations
  • assistance with an office move

Knowledge & qualities:

  • at least two years’ of administrative experience
  • ability to work under pressure to meet deadlines
  • excellent written and spoken communications skills
  • proficient in Microsoft office suite
  • excellent organisational and mathematical skills
  • experience in the interior design industry is a bonus, but not essential
  • knowledge of interior design software EstiMac is a bonus, but not essential
  • full UK driving licence is a bonus, but not essential
